Key Responsibilities
Front Desk & Communication
- Receive and manage incoming calls professionally; direct calls to relevant departments or individuals.
- Handle walk-in visitors, clients, auditors, and vendors with professionalism and courtesy.
- Maintain visitor logs and ensure proper reception protocols are followed.
- Manage official email correspondence related to front desk and administration.
Meetings & Coordination
- Schedule meetings, appointments, and conference calls for management and teams.
- Coordinate meeting rooms, refreshments, attendance sheets, and follow-ups.
- Assist in preparing meeting agendas, MOMs (Minutes of Meeting), and action trackers.
CEO & Management Support
- Provide administrative support to the CEO as assigned (coordination, reminders, follow-ups).
- Assist with CEO-related tasks including document handling, correspondence, and scheduling.
- Coordinate internal and external communication on behalf of senior management when required.
Courier, TCS & Dispatch Handling
- Manage all incoming and outgoing courier services (TCS, DHL, Leopard, etc.).
- Maintain proper records of dispatches, deliveries, and acknowledgements.
- Coordinate document deliveries with departments and external stakeholders.
Documentation & Records
- Maintain organized records of office documents, logs, and registers.
- Ensure confidentiality and proper filing of sensitive documents.
- Assist HR/Admin in maintaining attendance sheets, leave records, and basic office data.
Expense Sheets & Claims
- Maintain office expense sheets and petty cash records (if assigned).
- Assist in compiling expense claims related to administration or CEO activities.
- Coordinate with Accounts/Finance for submission and verification of expense claims.
Office Administration Support
- Coordinate with vendors for office supplies, maintenance, and utilities.
- Support HR and Admin teams in daily operational tasks.
- Ensure front desk area remains professional, organized, and presentable at all times.
Compliance & Professional Conduct
- Follow TÜV Austria’s internal policies, compliance requirements, and confidentiality standards.
- Maintain professional behavior aligned with a certification and inspection body.
Any other task
- Perform any other duties assigned by Management, HR, or CEO from time to time.
Education Requirements
- Bachelor’s degree (Business Administration, Management, or relevant field preferred).
- Diploma or certification in Office Management / Administration will be an advantage.
Experience Requirements
- 2–4 years of experience as a Front Desk Officer, Receptionist, or Admin Assistant.
- Experience in a corporate, certification, inspection, or professional services organization preferred.
- Prior exposure to handling senior management or CEO coordination will be a plus.

Pay: Rs45,000.00 - Rs50,000.00 per month
