We are seeking a well-presented, courteous, and organized Front Desk Executive cum Receptionist to manage the front office of our skin clinic. The ideal candidate will be the first point of contact for patients, ensuring a warm welcome, smooth appointment scheduling, and efficient clinic coordination while maintaining high standards of professionalism and confidentiality.
Key Roles & Responsibilities1. Front Desk & Patient Interaction
- Greet and welcome patients and visitors in a polite and professional manner.
- Register new patients and update existing patient records accurately.
- Assist patients with appointment bookings, rescheduling, and cancellations.
- Provide information about clinic services, treatments, and doctors.
- Address patient inquiries and direct them appropriately.
2. Appointment & Calendar Management
- Manage doctors’ appointment schedules efficiently.
- Confirm appointments via phone calls, SMS, or email.
- Ensure minimal waiting time and smooth patient flow.
- Coordinate walk-ins and emergency appointments when required.
3. Billing & Payments
- Generate bills and process payments (cash, card, UPI, etc.).
- Maintain daily billing records and reconcile cash collections.
- Coordinate with accounts team for reporting and documentation.
4. Administrative Support
- Maintain patient files, reports, and confidential records.
- Handle phone calls, emails, and WhatsApp inquiries professionally.
- Maintain front desk registers and clinic documentation.
- Ensure reception area is clean, organized, and welcoming.
5. Coordination & Communication
- Coordinate with doctors, nurses, and therapists for patient flow.
- Follow up with patients for review visits and treatment reminders.
- Support marketing initiatives like promoting offers or packages.
6. Inventory & Basic Clinic Support
- Maintain basic office supplies at the reception.
- Inform management about low stock of stationery or consumables.
- Assist in maintaining overall clinic discipline and hygiene standards.
Required Skills & Qualifications
- Graduate in any discipline (preferred).
- 1–3 years of experience in a clinic, hospital, or healthcare front office (preferred).
- Excellent communication skills (English + local language).
- Good computer knowledge (MS Office, billing software, appointment systems).
- Well-groomed appearance and pleasant personality.
- Strong organizational and multitasking abilities.
- Basic knowledge of skincare or cosmetic treatments (added advantage).
