Group Director of Administration

Position Overview

As the core manager of the group's administrative system construction and operation, you will take the lead in building and iterating the group-wide standardized administrative management system, oversee the administrative support work for global multi-regional workplaces, optimize administrative service processes and resource allocation, ensure the efficient operation of the group headquarters and overseas workplaces, and provide solid administrative support for business development and organizational operations. You should be equipped with capabilities in system construction, cross-regional coordination and global service.

Core Responsibilities

  • Administrative System Construction and Optimization: Lead the construction of a standardized administrative management system covering the entire group, including office order, logistics support, fixed asset management, administrative cost control, supplier management and other modules. Formulate unified administrative management systems and operating specifications, and continuously iterate and optimize in conjunction with the group's strategy and business expansion needs to improve the efficiency and standardization of administrative work.
  • Global Workplace Administrative Support: Oversee the administrative operation and support work for different global regional workplaces, coordinate matters such as office location selection, renovation, logistics services and compliance adaptation for overseas workplaces, establish a cross-regional administrative collaboration mechanism, ensure the consistency and flexibility of administrative services in each regional workplace, and adapt to local policies and cultural differences in different countries/regions.
  • Administrative Cost and Resource Control: Establish a scientific administrative cost control system, compile and strictly implement the annual administrative budget, optimize the allocation of office resources (materials, venues, equipment, etc.), promote the digital and intensive transformation of administrative services, and achieve cost reduction and efficiency improvement while ensuring service quality.
  • Cross-departmental and Cross-regional Collaboration: Collaborate with various business lines, functional departments and overseas branches of the group, respond to administrative needs and provide efficient services, coordinate the handling of major administrative affairs and group-level meeting/event support, and build smooth internal and external communication and collaboration channels.
  • Administrative Team Management and Capacity Building: Build and lead the group administrative team, clarify job responsibilities and assessment standards, carry out team training and capacity improvement work, create a professional, efficient administrative team with a global service awareness, and foster a positive team atmosphere.
  • Administrative Risk and Compliance Management: Pay attention to changes in administrative-related laws, regulations and policies in various global regions, ensure that the group's administrative work (especially overseas workplaces) complies with local compliance requirements, avoid administrative operation risks, and establish a compliance inspection and review mechanism for administrative work.

Requirements

  • Educational Background: Bachelor's degree or above, major in Administration Management, Business Administration, Public Administration or related fields is preferred.
  • Work Experience: More than 10 years of administrative work experience, including at least 2 years of experience in administrative management positions in leading internet companies. Possess full-process experience in building and iterating the administrative system from scratch, and have practical experience in supporting the administrative operation of different global workplaces.
  • Core Capabilities: Have excellent global workplace coordination capabilities, be able to effectively coordinate cross-regional administrative resources and solve administrative operation problems in different regional workplaces; have solid administrative system construction capabilities and be familiar with the standardization construction logic of various administrative modules; have excellent problem-solving skills, project management capabilities and pressure resistance.
  • Language Ability: English can be used as a working language, proficient in cross-cultural business communication in English, writing English administrative documents, and leading English meetings to meet the needs of global workplace collaboration.
  • Other Requirements: Have a keen sense of service and overall thinking, and be able to deeply integrate administrative work with the group's business development; have good communication and coordination capabilities, team management capabilities and decision-making power; recognize the group culture, have strong principles and attention to details, and be good at innovating administrative service models.
