Designation: Group Vehicle Maintenance & Fleet Coordinator
Job Summary:
The Group Vehicle Maintenance & Fleet Coordinator is responsible for overseeing the maintenance, servicing, and overall condition of the company’s vehicle fleet. This role ensures that all vehicles are properly serviced, maintained, and monitored to ensure optimal performance, safety, and compliance with regulations. The coordinator will also manage vehicle records, schedule maintenance, and ensure cost-effective solutions for vehicle repairs and servicing.
Key Responsibilities:
- Develop and implement a comprehensive maintenance schedule for all vehicles in the group fleet, ensuring timely servicing and repairs.
- Monitor Mulkiya expiry and processing for passing, policy schedule and Mulkiya renewal
- Monitor clearance of RTA Vehicle fine of users on time.
- Coordinate with external service providers, garages, and dealerships to arrange vehicle repairs, inspections, and routine servicing.
- Conduct regular vehicle checks to monitor the condition and performance of the fleet, addressing any issues promptly.
- Monitor the day-to-day usage and performance of the fleet, ensuring vehicles are used efficiently and maintained properly.
- Track vehicle mileage, fuel consumption, and overall usage patterns to optimize performance and reduce costs.
- Ensure compliance with vehicle regulations, including insurance, registration, and licensing.
- Maintain detailed records for each vehicle, including maintenance history, repairs, mileage, and service schedules.
- Generate reports on vehicle performance, costs, and any incidents to management.
- Update vehicle documents and ensure all are current, including insurance, registration, and warranties.
- Monitor and manage vehicle maintenance costs, seeking cost-effective solutions for repairs and servicing.
- Negotiate contracts with service providers, suppliers, and dealerships for the best possible rates.
- Identify opportunities to reduce expenses, such as bulk servicing agreements or fuel-saving measures.
- Ensure all vehicles are compliant with safety regulations, performing regular safety inspections.
- Respond quickly to vehicle issues or breakdowns, ensuring vehicles are safe to operate.
- Oversee accident reporting and coordinate necessary repairs with insurance companies and repair shops.
- Assist in the acquisition of new vehicles when needed, including leasing or purchasing decisions.
- Oversee the disposal or sale of old or non-operational vehicles in a cost-effective manner.
- Communicate regularly with drivers and team members to ensure vehicles are properly used and maintained.
- Provide support to drivers, answering questions related to vehicle performance, safety, or maintenance requirements.
Qualifications and Skills:
- High school diploma or equivalent (Bachelor’s degree in Automotive Technology, Engineering, or related field preferred)
- Proven experience in vehicle maintenance, fleet management, or a similar role
- Strong understanding of vehicle mechanics and servicing requirements.
- Excellent organizational and record-keeping skills.
- Proficiency in using fleet management software and tools.
- Ability to manage multiple tasks and prioritize effectively.
- Good communication and negotiation skills.
- Valid driver's license (with experience driving multiple types of vehicles a plus).
