Summary
We are seeking an Administrative Assistant to join our Human Resources team. The ideal candidate will contribute significantly to our mission by ensuring smooth administrative processes. This position is fast-paced and goal oriented, and you must be a self-starter to be successful. The job incumbent will have the opportunity to grow with our firm by expanding their knowledge and job duties.
Job Duties
- Collaborate with the Human Resources Manager and team members to schedule and conduct interviews and identify top-qualified candidates for employment.
- Conduct in-person interviews with candidates, providing a positive and professional representation of the firm while assessing qualifications and cultural fit.
- Coordinate and manage onboarding for out-of-town new hires, including preparing workstations, sending assigned laptops to their locations, emailing their paperwork.
- Monitor employee compliance with company policies and procedures, and take proactive steps to address and correct any issues.
- Reprimand employees who violate company policies, ensuring that all disciplinary measures are handled consistently, confidentially, and in accordance with HR.
- Implement innovative recruitment strategies, including creating job profiles for each role, drafting and posting job advertisements, and networking with universities and professional organizations.
- Utilize Microsoft programs - Word, Excel, PowerPoint, and other programs such as Outlook, Google Spreadsheets, Adobe and Foxit.
- Respond to employee inquiries regarding benefits, payroll, policies, and general HR concerns in a timely and professional manner.
- Serve as a point of contact for conflict resolution and assist in conducting investigations when needed
Qualifications
- Strong communication skills, both verbal and written
- Proficiency in data entry and office software (e.g., Microsoft Office)
- Excellent organizational skills with attention to detail
- Ability to manage multiple tasks effectively
- A proactive approach to problem-solving
- High level of professionalism and confidentiality
