Position: Install Department Office Manager
Position Description:
The Install Department Office Manager is responsible for providing general administrative support to the entire All Terrain team as well as specific support to the Install Manager for various needs including but not limited to answering department phones, scheduling, billing support, payroll, accounts payable/receivable support.
Distinguishing Characteristics
The successful candidate will be self-motivated, detail-oriented, energetic, and highly organized. Must be a team player and have outstanding writing, editing, data entry, and proofreading skills. Excellent communication and interpersonal skills, and the ability to prioritize and handle multiple projects are essential.
Knowledge and abilities
· High school graduate: college degree preferred
· 2–5 years of administrative experience; fleet management experience is a plus
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
· Demonstrate strong verbal, written and interpersonal communication skills
· Multitasking and prioritizing workflow
· 1-3 years in Office Administration
· Experience with Construction and/or Landscaping a plus
· Proficient in customer relationship management, record keeping
· Ability to handle confidential information with discretion
· Valid driver’s license required
· Experience with fleet management software preferred (Azuga, Zubie)
Essential Functions/Areas of Accountability
· Provides clerical support to company management and supervisory personnel
· Creating correspondence, reports, and documents
· Provides administrative assistance, such as clerical functions, general support, and customer service
· Answering and directing incoming department customer calls
· Candidate will be responsible for processing timesheets for payroll
· Organizing and maintaining paper and electronic files
· Must become proficient in company software Hindsite
· Client communications
· Familiar with 811 locate requests and ticket troubleshooting
· Responsible for talent acquisition, initial vetting, and assistance with onboarding/termination paperwork
· Data entry and auditing on monthly financials
· Maintains master Install schedule (Monday.com application) and conducts weekly audits to verify project timeline and client communications
· Manage all aspects of fleet/equipment/tool management to include, but not limited to physical accountability, location tracking, submission and return from routine maintenance or repair, approval and recording of invoices
· Generate job variance and fleet management reports
Pay: $55,000.00 - $65,000.00 per year
