Your Responsibilities
As Lead Exhibitor Manager, you are both a trusted partner for exhibitors and a team leader. You guide exhibitors and their project managers (EPMs) from concept through completion, while also managing and mentoring a team of up to four Exhibitor Managers. Your work ensures that technical needs, design elements, and logistical requirements are translated into well-executed, high-quality solutions.
Your role spans resource planning, project budgeting and quotations, on-site execution, and post-show reconciliation - all to deliver a seamless, premium experience at every stage.
Pre-Event Planning & Project Development

Act as the main point of contact for our customer and exhibitors, managing inquiries and translating creative and technical requirements into actionable solutions

Oversee the full project lifecycle—from initial booth briefings to final approvals

AutoCAD Experience Required for preparing and maintain comprehensive technical drawings and floorplans, incorporating all exhibitor specifications

Generate detailed quotes and budgets, ensure timely approval processes, and secure confirmations to proceed

Advise galleries on suitable solutions for lighting, flooring, wall finishes, and custom elements, balancing aesthetics, feasibility, and cost-effectiveness
On-Site Implementation

Supervise on-site installation and construction, coordinating closely with suppliers and internal teams

Monitor timelines, budgets, and quality standards to ensure deliverables meet or exceed gallery expectations

Troubleshoot issues proactively and maintain consistent communication with exhibitors during build-up and handover
Post-Event Wrap-Up

Oversee the dismantling process, ensuring efficient and organized breakdown of gallery stands

Lead final reconciliations, including the review of delivered services, cost validation, and invoicing
Cross-Functional Collaboration

Maintain strong alignment with Project Lead, production, logistics, and account teams to ensure cohesive execution

Serve as a central communication hub between galleries, internal stakeholders, and external partners throughout all project phases
Your Profile

Experience: 5+ years in exhibition, event production, project management, or architectural/structural build projects, with leadership responsibilities

Technical skills: Proficiency in AutoCAD (Revit or SketchUp is a plus). Strong MS Office (Excel, Outlook, Teams) and digital collaboration tools

Leadership ability: Proven success in leading teams, mentoring talent, and managing resources effectively

Project mindset: Strong skills in budget management, scheduling, and multi-stakeholder coordination under pressure

Strategic problem-solver: Adept at identifying solutions quickly, balancing creativity and feasibility, and thriving in high-pressure environments

Interpersonal excellence: Exceptional communication, negotiation, and relationship-building skills across cultures

Flexibility: Willingness to travel internationally (up to 3 fairs/year) in Europe, USA, Asia, and work occasional weekends during fair periods

Languages: English fluency required; French, German, or Arabic are strong pluses
