Manager Pharmacy Operations

The Manager Pharmacy Operations will be responsible for overseeing the efficient operation of the pharmacy, ensuring proper management of inventory, staff, and compliance with policies and procedures. The role requires strong coordination with the Central Management Hub (HO) and the administration of the Combined Military Hospital (CMH), ensuring seamless pharmacy operations, timely submission of reports, and the highest standards of pharmacy practices.

Role and Responsibilities

  • Supervise and monitor pharmacy operations, ensuring timely submission of all Purchase Orders (POs) to the Head Office (HO).
  • Oversee the availability of all required medicines under the supervision of the MedAsk HO Pharmacies department, ensuring that stock levels are maintained.
  • Maintain regular communication with CMH administration and MOIC to address all matters related to pharmacy operations, including clearance of pending bills.
  • Ensure dead inventory is at zero and slow-moving items are managed as per authorized limits.
  • Ensure timely return of expired medicines to vendors in accordance with the return policy and notify the procurement department.
  • Ensure that all pharmacy employees comply with the prescribed dress code.
  • Respond promptly to any complaints raised by CMH Management or customers, coordinating with the HO as needed.
  • Maintain a high standard of cleanliness within the pharmacy.
  • Monitor and ensure the appropriate use of emergency cash in accordance with HO instructions.
  • Ensure the accuracy and correctness of financial records and accounts related to pharmacy operations.
  • Timely submission of all required reports and returns to the HO, ensuring compliance with established protocols.
  • Maintain close and effective liaison with HO staff to ensure the smooth and efficient functioning of the pharmacy.
  • Ensure that administrative tasks are performed in close coordination with the Admin department at HO.
  • Ensure rental agreements are processed on time.
  • Ensure utility bills are economical.
  • Maintain fixed assets in accordance with FAR policy.
  • Oversee renovations and maintenance of pharmacies.
  • Ensure daily records of Not Available/refusal medicines are communicated to HO.
  • Conduct daily shelf audits and prepare PO requisitions for N/A medicines at the end of each day.
  • Secure balance chits and ensure timely clearance of all indoor and outdoor balance items.
  • Ensure timely disposal of expired medicines and provide staff education accordingly.
  • Avoid overpricing and ensure strict compliance by all staff members.
  • Review and process all LP and CNE bills promptly, following up on CRVs until credited to the MedAsk account.
  • Ensure proper handover from outgoing to new employees.
  • Report theft and fraud cases to HO.
  • Be responsible for all types of recovery, theft, and deficit cases, ensuring clearance processes are completed.
  • Conduct daily, weekly, and monthly stock takes and share reports with the HO.
  • Oversee records of all pharmacy transactions to ensure adequate control and accountability for all drugs as required by applicable laws and regulations.
  • Forecast and timely respond to demands for medicines and supplies arising from seasonal and other factors.
  • Encourage professionalism, productivity, performance, and efficiency among all pharmacy staff.
  • Ensure compliance with pharmacy standards (SOPs).
  • Strive to enhance customer and patient care and satisfaction.
  • Conduct timely evaluations of pharmacy staff, including performing annual reviews for direct reports.
  • Facilitate corrective and disciplinary actions for pharmacy staff in coordination with the HO Pharmacy and other departments.
  • Coordinate training for pharmacy employees, including initial orientation and ongoing development.
  • Delegate assignments and committee appointments for pharmacy staff, providing supervision and coaching for pharmacy managers and staff.
  • Assist in creating short- and long-term strategic goals for pharmacy program development.
  • Negotiate and complete pharmacy staff contracts and credentialing in close coordination with the HO HR team.
  • Attend management team meetings and participate in relevant committee meetings as determined by the Director of Pharmacy Operations, contributing to the development of field operation strategies.

Qualifications and Education Requirements

  • Doctor of Pharmacy (Pharm-D) with a minimum of 8-10 years of experience in Healthcare Administration or Operations.
  • Background in administration associated with retail pharmacy.

Job Type: Full-time

Pay: Rs150,000.00 - Rs175,000.00 per month
