About the Role

We are seeking a part-time Office Administrator to support a busy owner and become a key part of our globally distributed team. This role includes broad elements of office administration, accounting support, staffing administration, and corporate records management. It is ideal for an experienced contract administrator with an existing client portfolio or someone seeking flexible, part-time work. The position requires an independent work style, strong organization, and comfort collaborating with a remote team across Virginia, New York, Ireland, and the United Kingdom.

We prefer candidates located in Northern Virginia or the Richmond area who can come to our Alexandria office for initial onboarding. Occasional travel to our Richmond office helps maintain team connection and supports our partner-level approach, though the role remains primarily remote.

Core Responsibilities

Office Operations

  • Manage calendar scheduling and meeting coordination across multiple time zones
  • Monitor and triage email communications from vendors and clients
  • Draft and send professional correspondence on behalf of the owner
  • Prepare, revise, and finalize documents, letters, and memos in Microsoft Word
  • Create and update Excel spreadsheets as needed
  • Finalize new client Statements of Work, forward to clients, and track the status of incoming work
  • Organize and maintain digital filing systems for client and administrative documents
  • Handle meeting preparation, agenda creation, and follow-up action items
  • Track renewal dates and payments for office leases in multiple locations
  • Establish client-facing files in Teams and keep them updated
  • Track client contract terms, auto-renewals, and pricing; correspond with clients as needed

Corporate Administration

  • Manage insurance policy tracking, renewals, and submissions with input from the bookkeeper and owner
  • Maintain corporate records
  • Draft or finalize meeting minutes as needed
  • Ensure corporate reports and taxes are submitted and paid on time, in various jurisdictions

Accounting Support

  • Maintain regular communication with bookkeeping staff and accountant, and assist with updating internal financial records. Oversee the bookkeeping staff’s follow-up on payables and receivables
  • Monitor bank transactions, balances, and statements
  • Report to the owner and provide summaries of vendor payables, payroll, receivables, and outgoing client invoices for both US and UK operations

Staffing Administration

  • Manage onboarding and offboarding for contractors and employees
  • Ensure policies and procedures are current and properly filed
  • Prepare job postings and manage the hiring process as needed
  • Input contractors’ and local counsel time records or invoices, oversee accurate invoicing and timely payment
  • Maintain the roster of local counsel across the world

Education and Experience

  • 7+ years of experience in office administration, operations support, or similar administrative roles
  • Bachelor’s degree or equivalent combination of education and experience
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, SharePoint, Teams, Excel)
  • Interest in and ability to explore AI technologies to improve efficiency
  • Excellent written and verbal English skills
