Office Administrator / Executive Assistant (Part-Time, On-Site)

Job Summary

NTS (Nye Technical Services) is hiring a dependable Office Administrator / Executive Assistant to support day-to-day office operations and provide general administrative support to an executive. This role is on-site in Harmony, PA and starts part-time, with room to grow based on performance and strengths.

Key Responsibilities

  • Open, sort, and route incoming mail; flag time-sensitive items
  • File paperwork and maintain organized physical and digital records
  • Scan documents and save/upload with accurate naming and folder placement
  • Answer inbound phone calls as needed and route messages appropriately
  • Assist with admin errands (bank runs, drop-offs, supply pickups)
  • Help respond to emails or route messages as requested
  • Organize and maintain the office (supplies, basic upkeep, common areas)
  • Support general executive/admin tasks (notes, reminders, coordination, document prep)
  • Provide light bookkeeping support (receipts organization, deposit prep, basic invoice/document sorting, simple tracking logs)

Qualifications

Required

  • Strong organization and attention to detail
  • Professional communication skills (phone/email/in-person)
  • Comfortable with email, calendars, scanning, PDFs, spreadsheets, and shared folders
  • Discretion with sensitive information
  • Valid driver’s license and ability to run occasional local errands
  • Ability to work on-site in Harmony, PA (not remote)

Preferred

  • Experience in office administration, receptionist/front desk, coordinator, or executive assistant roles
  • Experience with document control/filing systems
  • Comfort with light bookkeeping tasks (receipts, deposits, basic tracking)
