Job Position: Office Administrator
Type: Full time
- Manage 100% of incoming and outgoing documents with proper filing, tracking, and version control in our OWN SYSTEM.
- Create and Monitor KPI Strategies and Results.
- Maintain ≥99% accuracy in data entry, records, and internal reports
- Prepare, review, and submit administrative reports with zero missed deadlines
- Handle scheduling, calendars, and meetings with ≥95% on-time execution and no double bookings
- Coordinate approvals, signatures, and document circulation with maximum 24-hour turnaround time
- Monitor office supplies and vendor orders to maintain zero stock-out incidents
- Ensure 100% compliance with company policies, SOPs, and administrative procedures
- Track contracts, licenses, permits, and renewals with zero expirations or penalties
- Maintain confidential records with 100% confidentiality compliance
- Support HR and Operations with employee files, onboarding documents, and internal coordination
- Manage correspondence (email, letters, notices) with same-day response rate of ≥95%
- Identify administrative inefficiencies and implement improvements achieving minimum 10% time savings
- Handle multiple urgent tasks simultaneously while maintaining ≥95% task completion accuracy
- Act as the control point for audits and internal checks with zero major audit findings
Qualifications & Required Competencies
- Bachelor’s degree or diploma in Business Administration or related field
- Minimum 3 years of proven administrative experience in a fast-paced environment
- Advanced proficiency in MS Excel, Word, Outlook, and document management systems
- Strong organizational and time-management skills with the ability to work under pressure
- Exceptional attention to detail and ability to detect errors before submission
- Demonstrated experience handling confidential and sensitive information
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- High sense of accountability, discipline, and professional integrity
