Duties
- Greet visitors and clients at the front desk with professionalism and warmth, providing excellent customer service and assistance.
- Operate multi-line phone systems, answer inquiries, direct calls appropriately, and maintain phone etiquette at all times.
- Manage calendar appointments, schedule meetings, and coordinate conference room bookings using Microsoft Office and Google Workspace tools.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records.
- Handle correspondence via email and phone, supporting internal communication needs efficiently.
- Maintain office supplies inventory, place orders as needed, and ensure the office environment remains tidy and organized.
- Support bookkeeping activities using QuickBooks or similar software for basic financial record-keeping.
- Assist with clerical tasks such as photocopying, scanning documents, and preparing reports or presentations.
- Provide administrative support to team members or executives as needed, including personal assistant duties like calendar management and travel arrangements.
Qualifications
- Proven experience in an office environment with strong clerical or administrative skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Familiarity with QuickBooks or bookkeeping software is a plus.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Previous experience in customer service or front desk roles is preferred.
- Attention to detail in proofreading documents and managing schedules accurately.
