Lobeline Communications- Office Manager

Overview: Lobeline Communications is seeking a highly organized, proactive Office Manager to support day-to-day operations and ensure the smooth functioning of our fast-paced public relations and communications firm. This role is central to internal coordination, financial administration, and executive support, and will work closely with leadership, internal teams, and external partners.

Key Responsibilities

Operations & Administration

  • Oversee daily office operations to ensure efficiency and organization
  • Manage office supplies, vendors, and service providers
  • Lead vendor negotiations and maintain vendor relationships
  • Serve as a central point of contact for internal operational needs

Billing & Finance Support

  • Manage billing processes, invoicing, and payment tracking
  • Coordinate with accounting partners as needed
  • Support budget tracking and expense management

Human Resources Support

  • Handle general HR-related tasks and employee coordination
  • Engage with ADP for payroll, onboarding, benefits administration, and HR compliance support
  • Assist with internal documentation and employee records

Internal Communication & Project Management

  • Facilitate clear internal communication across teams
  • Support project management initiatives, timelines, and deliverables
  • Help ensure cross-team alignment on ongoing campaigns and internal priorities

Executive Support

  • Manage and coordinate the CEO’s calendar, meetings, and scheduling
  • Assist with meeting preparation, follow-ups, and internal coordination

Influencer & Talent Support

  • Assist with influencer agreements, contracts, and coordination
  • Support documentation and tracking related to partnerships and campaigns

Qualifications

  • 7+ years of experience in office management, operations, or administrative leadership in a PR, communications, or creative agency environment is a strong plus.
  • Strong organizational and multitasking skills
  • Experience working with ADP or similar HR/payroll platforms
  • Excellent written and verbal communication skills
  • Comfortable handling confidential information with discretion
  • Proficiency in Google Workspace, project management tools, and basic accounting systems

Preferred Skills

  • Experience in PR, marketing, media, or creative agencies
  • Familiarity with contracts, vendor agreements, or influencer partnerships
  • Strong problem-solving mindset and attention to detail

*This is a hybrid position, 3 days in office and 2 days remote​.

*70-75K salary based on experience​.

Pay: $70,000.00 - $75,000.00 per year
