Job Overview
We are seeking a dynamic, highly organized Office Manager to oversee daily office operations. This role is vital in ensuring a smooth, efficient, and welcoming workspace that supports our team’s productivity and growth. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an engaging office atmosphere. You will manage administrative functions, coordinate client relationships, oversee bookkeeping and payroll processes, and support human resources initiatives. Your leadership will help foster a positive work environment while maintaining operational excellence. This position requires approximately 15-20 hours of flex time per week.

Responsibilities

  • Manage day-to-day office operations, including front desk duties, phone systems, and calendar management for staff and executive schedules
  • Coordinate event planning activities such as meetings, training sessions, and company gatherings to ensure seamless execution
  • Supervise administrative staff and provide training & development opportunities to enhance team performance
  • Oversee client management by managing relationships and ensuring timely delivery of services
  • Handle budgeting and payroll processing via QuickBooks, and maintain accurate financial records
  • Maintain organized filing systems, perform clerical tasks, and ensure compliance with office policies and procedures
  • Support human resources functions, including onboarding new employees, managing employee records, and assisting with HR initiatives such as performance reviews

Experience

  • Proven supervising experience in an office or administrative setting with demonstrated leadership skills
  • Strong background in office management, including experience with calendar management, filing systems, and front desk operations
  • Proficiency in QuickBooks and Excel software for budgeting and payroll processing
  • Experience coordinating events and managing client relationships effectively
  • Familiarity with medical office management or healthcare-related environments is a plus but not required
  • Excellent communication skills combined with organizational prowess to handle multiple priorities efficiently
  • Prior experience in human resources functions such as training & development or employee onboarding is desirable

We are a Vermont-based pediatric nutrition private practice. We have a small but mighty team and are growing to support several dietitians who work intensively with teams and families in a community setting (check out our team at attune2food.com/team).

This is a new position for our practice, so you would be partnering closely with the lead dietitian and founder to creatively and sustainably design and improve standard operating procedures, organize and lead others in daily work plans and goals, execute outreach and marketing strategies, and bring a high-level vibe of confidence, confidentiality, and professionalism to work every day. We are also looking for someone who has a passion for young families and community engagement work, especially those who are struggling and have had medical &/or relational trauma related to their feeding or eating experiences, or just need more support temporarily.

Pay: $25.00 - $32.00 per hour

Expected hours: 15.0 – 20.0 per week
