Who We’re Looking For
We are looking for an Office Manager who will thrive in the following:

Office Management & Client Experience
Oversee day-to-day administrative operations across two clinic locations
Supervise administrative staff and support ongoing professional development
Ensure offices are opened and closed daily according to schedules
Ensure compliance with HIPAA and all federal/state guidelines
Conduct audits for timely documentation and chart uploads
Manage scheduling workflows and CRM processes
Handle escalated client issues with timely resolution
Review cancellations, retention, and administrative metrics
Assign clinical referrals to providers based on established protocols
Manage VA authorizations and renewals
Complete records requests efficiently
Follow up on and collect patient responsibility payments
Develop and maintain SOPs for administrative and clinical teams
Human Resources & Team Leadership
Create and maintain a work culture that promotes collaboration and enthusiasm
Support employee engagement initiatives, team meetings, and rapport
Assist Practice Manager with employee relations concerns
Coordinate office maintenance, repairs, and uninterrupted operations
Attend Leadership Team and Admin Team meetings as needed
Fiscal Management
Maintain inventory of supplies and equipment
Run and analyze reports to identify operational opportunities
Manage reduced fee sliding scale determinations for patient services
Review proof of income and notify Billing of approvals
Process reimbursement forms for eligible trainings and notify Finance
Knowledge, Skills, and Abilities
Exceptional computer literacy and ability to navigate internet-based systems
Advanced Microsoft Office skills (Word, Excel, Office365, PowerPoint)
Extraordinary verbal and written communication skills
Strong organization and prioritization skills in interruption-heavy environments
Strong discretion, confidentiality, and critical thinking
Ability to research issues and resolve conflict effectively
Ability to build professional relationships across diverse backgrounds
Independent work ethic with minimal supervision
Physical Requirements
Prolonged sitting and computer use
Standing, walking, stooping, squatting as needed
Ability to lift and carry approximately 20 pounds
Must be able to speak, listen, and work in an office environment
