Office Manager

Position Summary

The Dental Office Manager is responsible for overseeing the daily operations of the dental practice to ensure efficiency, productivity, and excellent patient care. This role requires strong leadership, organizational skills, and knowledge of dental office systems, insurance processes, and team management.

Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Schedule appointments and maintain calendars for multiple staff members
- Transcribe notes and documents as needed
- Coordinate projects and assist with administrative tasks as assigned
- Maintain a clean and organized front desk area
- Provide excellent customer service to all visitors and callers

Operations Management

  • Oversee day-to-day operations of the dental office
  • Ensure smooth scheduling and optimal provider productivity
  • Maintain compliance with OSHA, HIPAA, and state regulations
  • Implement and monitor office policies and procedures

Team Leadership

  • Supervise and support front desk and clinical team members
  • Assist with hiring, onboarding, and training staff
  • Conduct performance evaluations
  • Foster a positive, professional team culture

Financial Management

  • Monitor accounts receivable and production reports
  • Oversee billing, insurance claims, and collections
  • Manage payroll coordination and office expenses
  • Track key performance indicators (KPIs)

Patient Experience

  • Ensure exceptional customer service
  • Address and resolve patient concerns professionally
  • Improve case acceptance and patient retention

Administrative Duties

  • Maintain inventory and order supplies
  • Coordinate with vendors and dental representatives
  • Prepare reports for the practice owner
  • Support marketing and growth initiatives

Qualifications

  • Minimum 3 years of dental office management experience preferred
  • Strong knowledge of dental insurance and billing
  • Experience with dental software (e.g., Dentrix, Eaglesoft, Open Dental)
  • Excellent communication and leadership skills
  • Strong organizational and multitasking abilities

Preferred Skills

  • Financial reporting and KPI tracking (preferred but not required)
  • Conflict resolution (preferred but not required)
  • Marketing coordination (preferred but not required)
  • Experience in cosmetic and implant dentistry practices (preferred but not required)

Job Type: Full-time

Pay: $24.00 - $28.00 per hour
