Connolly Ranch Education Center is seeking an organized, detail-oriented Office Manager/Bookkeeper to support the financial and administrative operations of our nature-based education nonprofit.

This role is ideal for someone who enjoys combining bookkeeping, administrative systems, and community-facing support in a mission-driven environment. The Office Manager / Bookkeeper helps ensure the organization runs smoothly behind the scenes while supporting programs that connect thousands of children and families to nature each year.

Connolly Ranch Education Center is a beloved community resource in Napa dedicated to connecting children, families, and schools to nature through discovery-based education. Each year, more than 5,000 community members participate in our field trips, homeschool enrichment, early childhood programs, summer camps, and community events.

Position Overview

The Office Manager / Bookkeeper supports the organization’s bookkeeping, program enrollment systems, HR administration, and office operations. This position works closely with the Executive Director, program leadership, and external financial professionals to maintain accurate financial records and efficient administrative systems.

Responsibilities

Financial & Bookkeeping

  • Maintain financial records in QuickBooks or similar accounting software
  • Process accounts payable and receivable
  • Reconcile bank and credit card statements
  • Support the monthly financial close and documentation

Program Enrollment & Billing

  • Manage program registration and billing systems for camps, outdoor education, and community programs
  • Process registrations, enrollment changes, and payments
  • Serve as an administrative contact for families regarding enrollment and billing

HR & Payroll Support

  • Assist with employee onboarding and HR documentation
  • Support payroll administration through platforms
  • Maintain employee records and benefits documentation

Office Operations

  • Support daily office operations, including phones, filing systems, and administrative coordination
  • Maintain office supplies and organize administrative systems
  • Process accounts payable and receivable
  • Reconcile bank and credit card statements
  • Support the monthly financial close and documentation

Experience

Required

  • 3–5 years of nonprofit bookkeeping, plus office management or administrative experience
  • Experience with QuickBooks or similar accounting software
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and customer service skills

Preferred

  • Experience working in a nonprofit environment
  • Experience with CRM or program registration systems
  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field

Compenstation

  • $33–$38 per hour, depending on experience

  • Hybrid work (Napa-based, 2 days/week in office after 3-month fully in-office trial period)
