Parts Advisor - Heavy Vehicles

Job Purpose / Description

The Parts Advisor is responsible for assisting customers (internal and external) in identifying, sourcing, and supplying spare parts for heavy vehicles. The role ensures accurate parts interpretation, efficient inventory management, and delivery of high-quality service to support maintenance, repairs, and after-sales operations.

Customer Support & Sales:

  • Greet and assist walk-in, telephone, and workshop customers with parts inquiries.
  • Identify correct parts required using catalogs, EPC (Electronic Parts Catalogue), and system tools.
  • Provide quotations, issue invoices, and upselling additional parts, accessories, or services where appropriate.
  • Maintain professional relationships with fleet operators, workshop teams, and retail customers.

Parts Management:

  • Process parts orders, returns, and warranty claims accurately.
  • Monitor stock levels and coordinate with the Parts Manager for replenishment.
  • Support periodic stock counts, audits, and inventory accuracy initiatives.
  • Ensure proper labeling, storage, and organization of spare parts.

Coordination with Workshop & Service Teams:

  • Communicate with service advisors and technicians to ensure timely availability of parts for repair jobs.
  • Follow up urgent and back-ordered parts to minimize vehicle downtime.
  • Liaise with suppliers and logistics for special order and delivery timelines.

Administration & Compliance:

  • Maintain accurate records of parts transactions in ERP/DMS systems.
  • Ensure compliance with company policies, warranty guidelines, and manufacturer standards.
  • Prepare daily, weekly, or monthly reports on sales, stock, and parts movement.

Key Skills & Competencies:

  • Strong knowledge of heavy vehicle parts and components (trucks, buses, trailers, construction equipment).
  • Proficiency in parts catalogues, DMS/ERP systems, and inventory tools.
  • Excellent customer service and communication skills.
  • Ability to work under pressure and meet deadlines.
  • Good organizational and problem-solving skills.

Required Qualifications:

  • Diploma or Technical Certification in Automotive Engineering / Mechanical field (preferred)
  • Minimum 2–4 years’ experience as Parts Advisor in automotive (preferably heavy vehicles)
  • Knowledge of leading heavy vehicle brands (Volvo, Scania, MAN, etc.) is an advantage
  • Proficiency in MS Office; experience with ERP systems (SAP, Oracle, etc.) preferred
  • Valid UAE driving license (optional but preferred)
