The Position
We are looking for a Payroll Administrator for our European entities (Bookassist, Ariane), whose payroll is processed through the service provider Vistra. This role ensures accuracy, timeliness, and full compliance with European payroll legislation.

Key Responsibilities
  • Payroll Ownership: Lead the monthly payroll cycle for European entities, ensuring all data (new hires, terminations, salary changes, and bonuses) is accurately transmitted to the service provider.
  • Vendor Management: Manage the relationship with Vistra, ensuring they meet service level agreements and deliver accurate gross-to-net calculations.
  • Compliance & Statutory Reporting: Ensure all local tax, social security, and pension filings are completed on time. Stay updated on legislative changes in relevant European countries to maintain 100% compliance.
  • Audit & Validation: Perform meticulous checks on payroll previews and final reports to identify and resolve discrepancies before funds are disbursed.
  • Employee Support: Act as the subject matter expert for payroll queries from employees and local management, providing clear and timely resolutions.
  • Process Improvement: Identify opportunities to streamline the flow of information between internal departments and the external payroll bureau.

Experience & Qualifications:
  • Minimum 5–7 years of experience in payroll, with a proven track record in a lead or autonomous role.
  • Direct experience managing payroll for European entities and a strong understanding of international tax/benefit structures.
  • Experience working with third-party payroll bureaus or managed service providers
  • Advanced Excel skills (VLOOKUPs, Pivot Tables) and familiarity with ERP/HRIS systems.
  • Ensure all local tax, social security, and pension filings are completed on time. Stay updated on legislative changes in relevant European countries to maintain 100% compliance.
  • Perform meticulous checks on payroll previews and final reports to identify and resolve discrepancies before funds are disbursed.
