Payroll Administrator

Reports To: Vice President of Finance

Job Status: 12-month, Full-time, Exempt

Salary Information: Salary commensurate with experience. Salary range: $75k to $90k annually. This position is eligible for benefits (medical, dental, vision), generous PTO and holiday schedule, 401(k) savings plan with school match, higher education tuition reimbursement, and JSerra tuition discount of 50% off base tuition for each dependent child or legal guardian designated child who attends JSerra.

Description: JSerra Catholic High School is looking for an experienced and high performing Payroll professional who will oversee and administer the semi-monthly Payroll and HRIS system for our 300+ faculty, staff, and coaches. Our workforce includes both exempt and hourly, 10-month, 12-month, as well as part-time seasonal employees. Payroll duties include training and assisting hourly employees in using the automated time keeping system, entering, and editing one-time and recurring stipends, processing semi-monthly payroll, coordinating time-off requests, balancing accruals, assisting with leave administration, and generating W-2 and end of year payroll records. This individual will report to our Vice President of Finance but will also closely collaborate with Human Resources on payroll, stipend actions and HRIS actions. This individual will assist with the onboarding/hiring process, track and audit benefit elections, and ensure that new hires and existing employee information is accurately updated in the HRIS system.

Responsibilities

  • Effectively and accurately manage end-to-end payroll processing for 300+ employees
  • Generate semi-monthly payroll and end of year pay statements to comply with state and federal guidelines
  • Calculate, process and enter annual cost of living pay changes annually
  • Coordinate On-boarding and Off-boarding of employees with HR and ensure that pay is accurate and timely
  • Ensure that direct deposit, W-2 withholdings and other automated HRIS processes are accurately updated and maintained within the Payroll/HRIS system
  • Will frequently run school demographic and other unique payroll and employee reports as needed
  • Support and educate managers to increase their understanding of Payroll and business office
  • Respond to employee inquiries and questions on payroll issues in a timely manner
  • Demonstrate solid working knowledge in effectively utilizing HRIS/Payroll system and other automated tools to provide reports to management as needed.
  • Collaborate with other Business Office team members on finance projects, reconciliation actions and ensure that journal entries are accurately reported in a timely manner.

Knowledge, Skills, and Abilities

  • Have detailed knowledge and familiarity with US and California payroll laws and regulations
  • Have an in-depth knowledge of Payroll and Accounting relative to payroll entries and balance sheet reconciliation
  • Must be skilled in using Microsoft Suite tools (Outlook, Word, Excel & PowerPoint) with ability to perform pivot tables
  • Be highly motivated with strong organizational, problem solving, and oral/written communication skills
  • Ability to work weekends and holidays when semi-monthly payroll actions or year-end actions are necessary to process Payroll and meet established deadlines and timeframes
  • Possess a disposition with a team approach to administration and faculty

Education & Experience

  • Bachelor’s degree in accounting, finance or related business field required or equivalent
  • Minimum of 3 years prior experience overseeing and using automated Payroll System with strong preference for candidates with prior experience and expertise using Paycom HRIS system or another automated payroll system
  • Prior experience using Payroll in a School environment with both 10-month and 12-month employees strongly desired
  • Prior Accounting/Finance background with general knowledge of accounting reconciliation essential
  • Prior HR payroll background strongly preferred
