Job Description
Pay Range: $23.15 to $27.25 per hour
Purpose of Position:
Interpret pay rules, regulatory compliance, and union contracts; process, audit weekly/bi-weekly payrolls to include paper timecards and Kronos Time and Attendance System; direct deposit and pay card (ACH) set-ups, changes, cancels; set jobs for nightly processing; manual check calculation and review; timecard, label, and paycheck distribution; SDI coordination calculations; void checks; stop payments, mandatory and voluntary deduction maintenance, vendor payments; worksite reporting; daily positive pay; metrics; annual United Way project, Attachment and Garnishments; Escheatment; Deceased Employee checks; writing/updating procedures; W-2 re-issue request; restaurant tip tracking; mail; filing.
Essential Job Functions:
- Process multi-state payroll, paper timecards, and Kronos to include interpretation and application of pay rules, union contracts, federal and state regulatory requirements, batch controls, recaps, data entry, and auditing.
- Balancing, time accrual entry, and releasing time records for processing.
- Daily Manual check calculations.
- Processing Attachment and Garnishments to include interpretation of court orders and application of the type of order (IRS, Sheriffs, Bankruptcy, support, etc.).
- Set-up deductions, amendments, stops, changes, uploads for vendor AP checks, online filing and payments, check distribution, reconciliations and set weekly job sheets.
- ACH maintenance (new set-up, changes, reversals, daily positive pay file, returns), Union maintenance (new set-up, arrears, vendor payments), and SDI coordination’s (CA state disability Insurance calculations).
- Keep metrics, United Way maintenance/annual set-up and projections, update department policy/procedure, W-2 reissues, escheatment (unclaimed wages), and deceased employee payments.
- Temp pool tracking, miscellaneous payments, time and attendance entry, maintain shared payroll Outlook mailbox, CA make-up time request, error-processing corrections, Kronos Weekly Audits, timecard, timecard label distribution.
Additional Functions:
- Backup other desks as needed
Qualifications
Requirements:
- High School graduate, some college accounting classes, bachelor’s degree preferred.
- At least 2 years of office experience.
- Two- three years processing payroll is preferred. (Working knowledge of payroll best practices, knowledge of taxable wage limits, pay rules, overtime, etc.).
- High degree of confidentiality, organization and prioritization skills; detail-oriented; critical thinker.
- Sound analytical skills and mathematical aptitude.
- Strong PC skills – Windows, Excel, Word; payroll software helpful, Kronos or payroll timekeeping system helpful.
- 10-key by touch.
- Able to work independently and work with all levels of management. Must have a high degree of organization and prioritization skills.
- Good communication and interpersonal skills.
- Self-motivated, resourceful and a quick learner.
- Ability to process assigned duties and work independently in an efficient and organized manner.
- Ability to work effectively in a multi-task environment.
- Ability to collaborate with all levels of the team, to communicate effectively to other departments and at all levels of the organization.
- Must be able to lift Up to 25 lbs.
