Role Overview
We are seeking a highly organized, proactive, and trusted
Personal Assistant to the CEO
to provide high-level administrative, operational, and coordination support. This role requires exceptional professionalism, discretion, and the ability to operate confidently in a fast-paced, executive environment across multiple countries.
The ideal candidate will act as a
strategic right hand
to the CEO—ensuring efficiency, structure, and seamless coordination across internal teams, external partners, and executive stakeholders.
Key Responsibilities
Executive & Administrative Support

Manage the CEO’s calendar, meetings, travel, and priorities with precision.

Prepare agendas, briefing documents, presentations, and follow-ups for meetings.

Handle confidential correspondence, documents, and sensitive information with the highest discretion.

Act as a gatekeeper for the CEO’s time, ensuring focus on strategic priorities.
Business Coordination & Follow-Up

Coordinate with department heads to track action items, deadlines, and deliverables.

Follow up on executive decisions and ensure timely execution across teams.

Support preparation of reports, dashboards, and executive summaries.

Assist in organizing board meetings, leadership meetings, and strategic workshops.
Communication & Liaison

Serve as a primary point of contact between the CEO and internal/external stakeholders.

Draft professional emails, letters, and communications on behalf of the CEO.

Coordinate with partners, vendors, consultants, and investors as required.

Maintain professional communication across different cultures and regions.
Travel & Logistics

Plan and manage complex regional and international travel itineraries.

Handle visas, accommodations, transportation, and meeting schedules.

Ensure all travel arrangements are efficient and aligned with business objectives.
Process & Organization

Help organize and structure incoming requests, documents, and approvals.

Maintain orderly digital and physical filing systems.

Support process improvements to enhance executive office efficiency.

Assist in ad-hoc projects and special assignments as needed.
Required Qualifications & Skills

Bachelor’s degree in Business Administration or a related field (preferred).

5+ years of experience
as a Personal Assistant / Executive Assistant to senior leadership.

Strong organizational, time-management, and multitasking skills.

Exceptional written and verbal communication skills in
English
(Arabic is a strong plus).

High level of professionalism, maturity, and discretion.

Ability to work independently and anticipate executive needs.

Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Teams, SharePoint, or similar tools is an advantage.
