Personal Assistant & Skin Care Professional Concierge

We are seeking a highly organized, proactive, and polished Personal Assistant & Skin Care Professional Concierge to support the Founder and help maintain seamless daily operations.

This role blends executive support, client concierge services, administrative coordination, and light operational management.

Position Overview

The Personal Assistant & Skin Care Professional Concierge serves as the right hand to the Founder while ensuring clients, students, and professional partners experience exceptional service.

This individual must be:

Key Responsibilities

Executive & Administrative Support

  • Manage and organize email inboxes
  • Calendar management and scheduling
  • Coordinate meetings, trainings, and classes
  • Assist with bookkeeping data entry and expense tracking
  • Maintain organized digital and physical filing systems
  • Vendor coordination and follow-up calls
  • Handle correspondence and phone outreach

Client & Professional Concierge Duties

  • Respond to client and esthetician inquiries
  • Assist with order follow-ups and customer service
  • Support class enrollment and student communication
  • Maintain CRM records
  • Prepare welcome materials for trainings and events
  • Ensure a luxury, polished brand experience at all touchpoints

Operational & Studio Support

  • Organize product inventory areas
  • Assist with class setup and breakdown
  • Spa organization and tidiness
  • Coordinate supply restocking
  • Support trade show and event preparation

Qualifications

  • 2+ years administrative or executive assistant experience
  • Experience in beauty, skincare, spa, or wellness preferred
  • Strong organizational skills
  • Comfortable with QuickBooks (or bookkeeping software)
  • Proficient in Microsoft 365 / Google Workspace
  • Excellent written and verbal communication
  • Professional appearance and demeanor
  • Ability to maintain confidentiality

Bonus:

  • Licensed Esthetician (not required but highly valued)
  • Experience in customer service within a luxury environment
