The Personal Assistant to the CEO provides comprehensive administrative, organizational, and operational support to ensure the CEO’s schedule, communications, and priorities are managed efficiently. This role requires exceptional organizational skills, discretion, and the ability to handle confidential matters while coordinating across departments and external stakeholders.
Key Responsibilities
Executive Support
- Manage and maintain the CEO’s calendar, appointments, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare reports, presentations, meeting agendas, and documents for the CEO.
- Coordinate meetings, conferences, and executive events.
Communication & Coordination
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Liaise with senior management and departments on behalf of the CEO.
- Follow up on action items and ensure deadlines are met.
Administrative Duties
- Organize and maintain confidential files, documents, and records.
- Take meeting minutes and track decisions and action plans.
- Handle expense reports, invoices, and administrative tasks.
Project & Task Management
- Assist the CEO with special projects and strategic initiatives.
- Conduct research and compile data for decision-making.
- Monitor project timelines and provide progress updates.
Travel & Event Management
- Arrange domestic and international travel, accommodation, and itineraries.
- Coordinate executive meetings, board meetings, and events.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration or related field (preferred).
- 3–7 years experience as an Executive Assistant or Personal Assistant supporting senior executives.
- Excellent organizational and time-management skills.
- Strong written and verbal communication (English and Persian)
- High level of confidentiality and professionalism.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office tools.
- Ability to multitask and work under pressure.
- Strong problem-solving and decision-making skills.
Preferred Skills
- Experience supporting C-level executives.
- Project management experience.
- Familiarity with calendar management tools, CRM systems, or task management software.
- Female Candidates prefered.
