Role Overview

We’re hiring a fast, highly organized, and extremely communicative Practice Manager / Executive Assistant to support a busy US hospitalist physician. The doctor covers multiple facilities (Hospitals, SNFs, ALFs, Group Homes) and performs house call visits. Your job is to keep the doctor and team aligned, the schedule accurate in real time, and the EHR workflow fully up to date—nothing left behind.

This is a client-facing role. You must be confident, polished, and reliable enough to represent our team in front of the physician.

1) Calendar & Daily Coordination (Top Priority)

  • Own and maintain the doctor’s Google Calendar end-to-end (real-time updates, buffers, conflict prevention).
  • Coordinate daily movement across facilities and communicate updates to the team: where, when, changes, next steps.
  • Keep the doctor updated on all critical information you receive (messages, schedule shifts, priorities, urgent items).

2) EHR & Documentation Workflow (Non-Negotiable)

  • Ensure all visits are reflected in the EHR in a timely manner.
  • Track and drive completion of documentation workflows such as:
  • H&P
  • Discharge Summaries (DC Summary)
  • Visit notes / follow-ups / pending items
  • Maintain a daily tracker for pending charts, incomplete notes, missing signatures, and close loops consistently.

(Note: This role supports documentation workflow, data entry, tracking, and routing for review/signature—not clinical decision-making.)

3) Medication Refill Coordination

  • Track refill requests and ensure updates are entered/routed on time as per established protocol.
  • Communicate status clearly and follow up until completion.

4) Communication & Client Management

  • Provide clear, structured updates to internal team and client.
  • Ask questions, confirm details, and prevent errors proactively.

Required Skills & Qualifications

  • Excellent English communication (spoken + written): confident, clear, and concise.
  • Strong Google Workspace skills (especially Google Calendar + Sheets + Gmail).
  • Tech-savvy, quick learner, comfortable working in multiple systems/EHRs.
  • Extremely organized, fast, detail-focused, and able to manage high volume.
  • Basic understanding of US healthcare settings/workflows (Hospital, SNF, ALF, Group Homes, house calls).
  • HIPAA/privacy awareness and ability to handle sensitive information professionally.
