PRO/ HR Assistant

The PRO/ HR Assistant will have a prominent role as a company representative in building solid relationships with main governmental bodies. He is expected to provide quick, efficient and reliable services for all government-related tasks such as employment permits, entry visas, medical examinations, business licenses for the company and its group, and various responsibilities related to Immigration, the Ministry of Labour & consulates.

Main duties

Key responsibilities and accountabilities:

  • Manage the complete onboarding process in coordination with the HR Manager.
  • Process, submit and follow up all the company official relations/ transactions with the government sectors.
  • Submit all renewals of visas & labour work permit cards with the labour office and the Immigration department.
  • Process all renewals of all official licences for the company and its group.
  • Process labour health cards with the health department.
  • Manage renewals of official documents of the company (i.e. trade licence, chamber of commerce, CR, traffic department, municipality, customs clearance etc.)
  • Liaise with authorities to ensure Company compliance with local laws and regulations.
  • Process local amendments in coordination with the authorities.
  • Deal with government authorities concerning buying, selling, or leasing land/property.
  • Ensure the official company documents are up to date to avoid any penalties.
  • Manage Rent Contracts.
  • Support any legal issues in Company registrations.
  • Prepare official letters to the related authorities
  • Liaise with all government institutions regarding fines, penalties or any inquiry.
  • Adhere to the regular amendments in rules and regulations within very short notice.
  • Obtain new employment visas/work permits for all expatriate employees.
  • Manage the translation of official documents into Arabic.
  • Prepare labour contracts and get online attestation of labour contracts.
  • Provide expert advice to the business and employees on all visa formalities and other government-related procedures.
  • Accountable for maintaining accurate records for all above services.
  • Do any other related tasks as requested.

Qualifications and skills required:

  • Advanced computer skills and ability to use Microsoft Office and Google suite.
  • Professional attitude and appearance.
  • Working knowledge of Qatar labour regulations and governmental authorities.
  • Strong problem-solving skills.
  • Ability to multitask and prioritise.
  • Ability to build strong relationships.
  • Excellent communication and writing skills both in Arabic and English.
  • Extensive experience in Public Relations/Communications.
  • Detail-oriented and outstanding work organisation skills.
  • Public relations & customer service.
  • Be collaborative with other line managers for the group subsidiaries.
  • Must be able to support the General Manager/Owner in all decisions.

Reporting Relationship:

Reports directly to the HR Manager and the General Manager.

Experience:

At least 3+ years in the same position, preferably in a medium to a large organization with a proven track record.

Education:

A diploma degree in management or field. Additional certificates might be required for the position.

Time Commitment:

Minimum of 48 hours per week.

Essential:

1. Excellent networking and interpersonal skills.

2. Public Relations skills and knowledge about the senior authorities’ representatives.

3. Good influencing skills.

4. Spoken and written Arabic is a must.

5. Good written and spoken English language skills.

6. Valid Driving License.

7. Ability to manage and work as part of a team and as an individual.

8. Close attention to detail.
