Procurement and Order Processing Manager

Job Summary

The Procurement and Order Processing Manager will oversee the end-to-end lifecycle of IT hardware acquisition and order fulfillment. This role requires an extensive knowledge and understanding of IT hardware and the specific technical requirements of customers. You will lead a backend team to ensure that every order is sourced cost-effectively, processed accurately, and delivered on time to US-based entities.

Core Responsibilities

1. Strategic Procurement & Sourcing

· Supplier Management: Identify and vet reliable US-based and international distributors to ensure availability of IT hardware.

· Negotiation: Secure advantageous pricing, lead times, and payment terms to maintain competitive margins in the bidding process.

· Vendor Relations: Build long-term partnerships with manufacturers (OEMs) like Dell, HP, and Cisco to gain priority access to stock and deal registration.

2. Order Lifecycle Management

· Workflow Oversight: Manage the order flow from the initial purchase order (PO) through to shipment and delivery confirmation.

· Tracking: Utilize order management systems to track real-time inventory and ensure data synchronization between distributors.

· Logistics Coordination: Work with shipping carriers and freight forwarders to manage domestic and international logistics.

· TAA/Regulatory Check: Verify that all procured hardware meets specific compliance standards.

· Contract Adherence: Ensure all orders align with the terms of customers and agencies.

· Documentation: Maintain records of purchase orders, shipping manifests, and invoices for potential audits.

· Team Supervision: Manage and mentor a local team of order processors and procurement specialists.

· Process Optimization: Implement SOPs to reduce order-to-shipment lead times and minimize processing errors.

· Reporting: Deliver weekly reports on procurement spend, savings, order status, and vendor performance to the US headquarters.

Required Qualifications

· Education: Bachelor’s degree in Supply Chain Management, Business Administration, or IT.

· Experience: 3 to 5 years in procurement or supply chain, with at least 1 year in the IT hardware sector. Direct experience with US-based e-commerce is highly preferred.

· Skills:

o Advanced negotiation and vendor management skills.

o Excellent English communication (written and verbal) to interface with US partners and vendors.

o Strong analytical mindset with a focus on margin accuracy and cost reduction.

Key Performance Indicators (KPIs)

· Average Order Processing Time (Lead Time).

· Procurement Cost Savings (Negotiated Discounts).

· Order Accuracy Rate (RMA/Error Reduction).

· Vendor Performance Ratings (On-time Delivery).

Job Type: Full-time

Pay: Rs70,000.00 - Rs100,000.00 per month
