We are seeking a detail-oriented and proactive Procurement & Vendor Management Executive to manage sourcing, purchasing, and supplier relationships across China, Canada, and global markets.
This role focuses on identifying reliable vendors, negotiating competitive pricing, monitoring supply quality, coordinating delivery schedules, and ensuring smooth procurement operations for packaging, supplies, vegetables, and other materials. The ideal candidate will maintain complete documentation, track market prices, and work closely with the Finance team to ensure accurate budgeting and cost control.
Key Responsibilities
- Source and evaluate vendors in China, Canada, and worldwide for packaging, supplies, vegetables, machinery, and general materials.
- Request and compare quotations, negotiate pricing, terms, and delivery timelines.
- Build and maintain strong supplier relationships and develop backup vendors for all critical items.
- Monitor market prices regularly and update internal teams on cost fluctuations.
- Coordinate with Finance for budgeting, payment follow-ups, purchase orders, and cost approvals.
- Schedule shipments and deliveries to ensure timely availability of items.
- Verify product quality, packaging specifications, and compliance before finalizing purchases.
- Maintain an organized database of vendor contacts, quotes, contracts, invoices, and shipment records.
- Track order status and resolve delays or discrepancies with suppliers.
- Ensure proper documentation for imports, customs requirements, and logistics.
- Work closely with internal teams (Warehouse, Marketing, Restaurants, Production, Software/Tech) to forecast requirements.
- Prepare weekly procurement reports and savings analysis for management.
Requirements
- Bachelor’s degree in Supply Chain, Business or related field.
- 1–3 years of experience in procurement, sourcing, or supply chain (preferred but not mandatory for strong candidates).
- Strong knowledge of global vendor sourcing, especially China and Canada markets.
- Ability to negotiate pricing and contracts effectively.
- Familiarity with import processes, international shipping, and logistics is a plus.
- Excellent communication and coordination skills.
- Strong analytical abilities for price comparison, cost tracking, and vendor evaluation.
- Proficiency in Excel/Google Sheets and procurement management tools.
- Detail-oriented, organized, and capable of maintaining complete procurement records.
