Key Responsibilities
Vendor & Supplier Management

Source, evaluate, and onboard vendors (production houses, influencers, freelancers, media suppliers, tech platforms, printers, event suppliers, etc.)

Maintain strong relationships with existing suppliers and negotiate optimal pricing and terms

Ensure vendors comply with agency standards, contracts, and timelines
Procurement & Purchasing
-
Handle purchase requests for campaigns, productions, events, and internal needs
-
Raise POs, manage approvals, and track order fulfillment
-
Coordinate closely with Creative, Client Servicing, Media, and Finance teams
Cost Control & Budgeting
-
Support project teams with cost estimates and vendor comparisons
-
Track procurement spends against budgets and flag variances
-
Identify cost-saving opportunities without compromising quality
Contracts & Documentation
-
Assist in preparing contracts, NDAs, and supplier agreements
-
Maintain accurate procurement records, invoices, and vendor databases
-
Support finance with invoice matching and payment follow-ups
Operations Support

Ensure timely delivery of goods and services for campaigns
-
Troubleshoot supplier or delivery issues quickly

Support audits and internal compliance processes
Requirements
Experience & Skills
-
2–5 years of procurement or purchasing experience (agency, marketing, media, or production industry preferred)
-
Strong negotiation and vendor management skills
-
Understanding of digital production, content creation, media buying, or influencer marketing is a plus
-
Excellent organizational and communication skills
-
Ability to manage multiple projects under tight deadlines
Tools & Competencies
-
Proficient in Excel / Google Sheets
-
Familiar with procurement systems or ERP tools (bonus)
-
Strong attention to detail and commercial awareness
