Procurement Executive

Key Responsibilities

  • Process awarded orders and convert approved sales quotations into accurate, compliant Purchase Orders (POs).
  • Review vendor quotations received during the order-winning process to validate pricing, lead times, and terms.
  • Engage OEMs and authorized distributors post-award to negotiate additional price improvements or better commercial terms where possible.
  • Place orders with approved vendors and ensure alignment with GovCon contractual and compliance requirements.
  • Track orders end-to-end and proactively follow up with vendors to avoid delays, shortages, or mismatches.
  • Coordinate closely with sales reps, GovCon operations, logistics, and customers to provide timely order and delivery updates.
  • Work with the Accounts/Finance team to ensure timely vendor payments, invoice matching, and resolution of billing discrepancies.
  • Track, reconcile, and follow up on OEM and distributor rebates, incentives, and credits (pre- and post-order).
  • Keep a close eye on different rebate programs of OEMs to get better deals.

Requirements

  • Bachelor’s degree in Business, Supply Chain, Procurement, Finance, or a related field.
  • 2–5 years of experience in procurement, purchasing, or supply chain roles, preferably in regulated environments.
  • Hands-on experience with PO processing and post-award procurement operations.
  • Experience coordinating with OEMs, distributors, and internal finance/accounts teams.
  • Strong negotiation and follow-up skills with a focus on cost optimization and delivery commitments.
  • High attention to detail with strong documentation and compliance discipline.
  • Ability to manage multiple orders, vendors, and deadlines in a fast-paced environment.
