Job Summary

The Vehicle Cross Hiring Executive oversees the day-to-day management of hired vehicles and equipment, ensuring smooth coordination between clients, projects, and suppliers. The role combines operational control with commercial accountability, covering mobilization, utilization tracking, pricing negotiations, and billing. The focus is on maximizing fleet efficiency, minimizing downtime, and protecting the company’s commercial interests.

Key Responsibilities

Operational (Day-to-Day):

  • Coordinate daily vehicle and equipment requirements across projects.
  • Track fleet movements, availability, and utilization to prevent idle time.
  • Arrange mobilization and demobilization of vehicles as per site schedules.
  • Monitor driver/vehicle assignment changes and ensure accurate documentation.
  • Handle operational issues such as delays, breakdowns, or replacement vehicles.
  • Maintain updated records of hired equipment and usage hours.

Commercial / Contractual:

  • Negotiate rental rates, terms, and conditions with suppliers.
  • Ensure contracts and agreements are properly documented and compliant.
  • Review and process supplier invoices, ensuring alignment with actual usage.
  • Coordinate with finance on client billing, invoicing, and overtime/standby charges.
  • Prepare cost analysis and profitability reports for hired vehicles.
  • Address disputes related to rates, damages, or contract variations.
  • Build and maintain strong supplier and client relationships to secure competitive pricing.

Qualifications & Skills

  • Bachelor’s degree in Engineering, Business Administration, Logistics, or Supply Chain Management.
  • 3–5 years’ experience in vehicle hire, equipment leasing, or fleet operations.
  • Solid understanding of contracts, pricing structures, and invoicing processes.
  • Strong negotiation and vendor management capabilities.
  • Proficiency in MS Office (especially Excel) and ERP/fleet management systems.
  • Excellent communication and organizational skills.
  • Ability to handle pressure, multitask, and meet tight deadlines.
