Job Description

We are looking for a Property Management Coordinator to support our leasing and tenancy operations in Abu Dhabi. The ideal candidate will manage the full leasing documentation process, handle Tawtheeq registration, coordinate property viewings, and maintain accurate records for all tenancy activities. This role requires excellent organizational skills, attention to detail, and a professional approach to tenant communication.

Key Responsibilities

  • Coordinate and conduct property viewings with prospective tenants.
  • Prepare offer letters for leasing and secure necessary approvals and signatures.
  • Draft, process, and manage Tawtheeq registrations (Abu Dhabi tenancy contracts) through the official system.
  • Send finalized Tawtheeq documents to tenants via email.
  • Manage all lease documentation including new contracts, renewals, terminations, and amendments.
  • Monitor lease expiry dates and follow up with tenants regarding renewal or termination.
  • Prepare and process lease renewals and ensure Tawtheeq updates are completed.
  • Ensure all lease documents and supporting files are uploaded to Bitrix (or company database).
  • Maintain well-organized physical and digital filing systems for tenants and lease records.
  • Follow up on missing or incomplete documents to ensure compliance.
  • Respond to tenant inquiries and service requests professionally via phone and email.
  • Maintain regular follow-up with tenants on renewals, documentation, and pending issues.
  • Prepare and submit monthly reports on lease renewals, terminations, and tenancy activities.
  • Address tenant complaints or concerns professionally and coordinate timely resolutions.

Qualifications & Experience

  • Minimum 1 years of experience in property management, leasing coordination, or real estate administration (UAE experience preferred).
  • Familiarity with Tawtheeq system and Abu Dhabi tenancy regulations (required).
  • Strong computer skills including MS Office and Bitrix or similar CRM systems.
  • Excellent communication, organizational, and multitasking skills.
  • Fluent in English; Arabic is an advantage.
  • Professional, detail-oriented, and capable of working under pressure.
