Job Description – RFP Specialist
Position Overview
The RFP Specialist is responsible for managing the end-to-end development and submission of proposals in response to RFPs, RFIs, and other formal bid requests. This role ensures timely coordination, cross-functional collaboration, and full compliance with client requirements and internal standards.
Key ResponsibilitiesRFP/RFI Management
- Review and evaluate RFPs, RFIs, and related documents to clearly understand client requirements and expectations.
- Create detailed proposal timelines and ensure all milestones and deliverables are met on time.
- Coordinate with cross-functional teams including Sales, Marketing, Legal, and Subject Matter Experts to gather required inputs.
- Customize proposals according to client specifications while maintaining strict compliance with submission guidelines.
- Support pricing strategy development in alignment with company goals.
Proposal Development
- Write, edit, and proofread proposal content to ensure clarity, consistency, and accuracy.
- Develop persuasive content that effectively communicates the organization’s capabilities and competitive advantages.
- Maintain and update reusable assets such as templates, boilerplate content, and case studies.
- Work closely with internal stakeholders to collect technical, financial, and legal information.
Collaboration & Coordination
- Act as the main internal point of contact for all RFP-related matters.
- Engage cross-functional teams to ensure proposals align with client needs and internal processes.
- Manage internal review cycles and obtain necessary approvals before submission.
Submission & Follow-Up
- Oversee accurate and timely proposal submissions via online portals, email, or physical delivery.
- Track the status of submissions and provide regular updates to leadership.
- Respond promptly to client follow-ups, clarifications, and additional information requests.
Continuous Improvement
- Assess proposal results and incorporate feedback to enhance future submissions and processes.
- Maintain a centralized knowledge repository of FAQs, standard responses, and objection-handling content to improve efficiency and quality.
QualificationsEducation
- Bachelor’s degree in Business, Marketing, Communications, or a related discipline.
Experience
- 1–2 years of experience in proposal writing, RFP management, or business development.
Core Competencies
- Strong writing, editing, and proofreading skills.
- Excellent organizational and project management abilities.
- Capability to multitask and perform under tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with proposal management tools is an advantage.
- High level of accuracy and attention to detail.
- Strong interpersonal and communication skills.
- Understanding of proposal management best practices.
Preferred Qualifications
- Hands-on experience with proposal management software.
- Industry exposure in IT, healthcare, construction, or other complex, multi-layered proposal environments.
