Job Summary:

Responsibilities:

A professional and organized purchasing process is incredibly important to the success of our commercial interior design projects. The goal of the position is to handle many of the non-design related functions and requires a highly organized and detailed oriented person. The following describes the essential responsibilities of the Purchasing Accounting Coordinator.

Core Responsibilities:

· Purchases all the approved furniture, wallcovering, decorative lighting and accessories on behalf of the client and project. Effectively utilizing our purchasing software system to enter and track orders.

· Works with the interior design team to make sure that the furniture and other items for the project are of a high-quality level and are delivered in a reasonable amount of time to make the project commitments.

· Communicates with suppliers regarding specifications, ordering, warehousing, delivery and financials:

o Prepares purchase orders and ensures merchandise orders are timely placed.

o Tracks merchandise receipts and spread sheets.

o Follows up on orders and processes all paperwork on orders or returns in a timely and efficient manner.

o Maintains regular communication with warehouse regarding order status and delivery.

o Enters and tracks accounts payable and credit card purchases per project assignment.

· Has knowledge of the firm’s supplier relationships, manufacturer reps and subcontractors.

· Maintains vendor and client files with accurate and up to date information. Establishes new vendor accounts, completing credit applications – yearly resale certificates to vendors. Coordinate W-9 and subcontractor insurance follow up.

· Provides administrative support to the interior design team and office manager.

o Answer and direct phone calls.

o Meeting scheduling, set-up and breakdown.

o Maintain filing system.

o Attend all in-house meetings and programs.

o Assists in general upkeep and management of office.

o Complete all paperwork, timesheets, and other company requirements in a timely and professional manner.

Job Type: Full-time

Pay: $48,000.00 - $55,500.00 per year
