Key Responsibilities1. Pre-Event Estimation & Tendering
- Study design concepts, 3D visuals, and production drawings for booths, stages, kiosks, and pavilions.
- Prepare quantity take-offs for carpentry, graphics, lighting, AV, flooring, truss, and branding elements.
- Develop detailed cost estimates and event budgets.
- Obtain and analyze quotations from fabricators, printers, AV vendors, and rental suppliers.
- Support proposal and tender submissions with accurate pricing.
2. Budget Control & Cost Planning
- Prepare BOQs and cost plans for each event/project.
- Monitor budgets across multiple concurrent events.
- Optimize costs through material reuse and rental strategies.
- Track committed vs. actual costs in real time.
3. Procurement & Vendor Coordination
- Coordinate with approved vendors for fabrication, printing, AV, lighting, and logistics.
- Compare vendor quotes and negotiate rates.
- Plan material procurement aligned with tight event timelines.
- Ensure timely delivery to warehouse/site/venue.
4. Site Measurement & Billing
- Measure executed works at fabrication yard and event venue.
- Verify vendor invoices against actual quantities and agreed rates.
- Prepare client invoices, including variations and last-minute changes.
5. Variations & On-Site Changes
- Assess cost impact of design revisions and client change requests.
- Prepare and approve variation orders quickly during setup days.
- Maintain documentation for additional works and claims.
6. Post-Event Cost Reconciliation
- Reconcile final quantities after dismantling.
- Track reusable materials back to inventory.
- Prepare final cost reports and profitability analysis per event.
