Job Title: Real Estate Administrator

Job Summary

We are seeking a detail-oriented and experienced Real Estate Administrator to manage administrative, compliance, and documentation tasks related to real estate projects and transactions. The role requires hands-on experience in preparing, maintaining, and submitting Form A and Form B, coordinating with authorities, and supporting sales, leasing, and legal teams to ensure smooth operations and regulatory compliance.

Key Responsibilities

A. Property Sales Administration (Buying & Selling)

Prepare, review, and coordinate Form A, Form B, and Form F (Buyer, Seller, and Unified MoU).

Ensure accuracy of buyer, seller, broker, and property details before execution.

Coordinate NOCs from developers for resale transactions.

Liaise with developers, trustees, and registration offices for transfers.

Support property transfer processes at DLD Trustee Offices.

Track sales documentation, payments, and transaction milestones.

Handle off-plan documentation, including Aqood registration.

Coordinate SPA signing and developer approvals.

B. Leasing & Tenancy Administration

Prepare and manage tenancy contracts (residential & commercial).

Register, renew, and cancel Ejari contracts.

Coordinate tenancy renewals, amendments, and terminations.

Ensure compliance with RERA tenancy laws and rental regulations.

Calculate rental increases as per RERA Rental Index.

Issue and manage tenancy-related NOCs.

C. Free Zone & Commercial Compliance

Obtain NOCs to operate businesses in Free Zone areas.

Coordinate with Free Zone authorities for leasing approvals.

Liaise with landlords and property management for commercial use permissions.

Support trade license–related property documentation.

D. Government & Authority Coordination

Liaise with:

Dubai Land Department (DLD)

RERA

Trakheesi

Developers

Free Zone Authorities

Submit, follow up, and track approvals, registrations, and permits.

Stay updated with changes in UAE real estate laws and regulations.

E. Client & Agent Support

Act as administrative support for real estate agents and management.

Collect and verify client documentation (Emirates ID, passport, visa, trade license, etc.).

Coordinate with buyers, sellers, landlords, and tenants.

Ensure smooth closing of sales and leasing transactions.

F. Records & Compliance

Maintain organized digital and physical records of:

Sales contracts

Tenancy contracts

Ejari and Aqood certificates

NOCs and approvals

Ensure confidentiality, accuracy, and audit readiness.

Prepare internal reports for management.

Requirements & Qualifications

2–4+ years experience in real estate administration in Dubai.

Strong hands-on experience with:

Form A, B, F (sales transactions)

Ejari (tenancy)

Aqood (off-plan)

Free Zone leasing requirements

Solid understanding of DLD & RERA regulations.

Proficient in MS Office and UAE government portals.

Strong organizational and multitasking skills.

Preferred Skills

Experience in secondary market & off-plan transactions.

Knowledge of commercial leasing & Free Zone regulations.

Arabic language is a plus.
