We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems, screening calls and transferring inquiries efficiently.
- Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness.
- Maintain front desk organization by managing filing systems, data entry, and document proofreading.
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools.
- Provide excellent customer support by addressing inquiries professionally and courteously.
- Assist with clerical duties including typing reports, organizing files, and updating records in Google Workspace or Microsoft Office applications.
- Ensure office supplies are stocked and equipment is functioning properly to support daily operations.
- Uphold phone etiquette standards and maintain a professional demeanor at all times.
Requirements
- Proven experience in office administration or reception roles with strong clerical skills.
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools.
- Familiarity with multi-line phone systems and excellent phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with keen attention to detail; capable of managing time efficiently.
- Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks.
- Previous experience in medical or dental receptionist roles is advantageous but not mandatory.
- Excellent customer service skills with a friendly attitude and professional appearance.
