As a growing organization, we are seeking a professional and well-organized Female Receptionist & Admin Executive to support our operations, sales, and supply chain departments.

Job Summary

We are looking for a detail-oriented and responsible Female Receptionist & Admin Executive who will manage front-desk operations while providing structured administrative support to the Sales, Supply Chain, and Management teams.

The candidate must have experience with Zoho (Invoice, Packing List, Credit Note) and be capable of preparing accurate reports for management.

Key Responsibilities

Front Desk & Reception

  • Greet and welcome visitors professionally
  • Answer and direct incoming calls
  • Manage courier, deliveries, and official documentation
  • Maintain professional front-office presentation
  • Host and serve guests when required

Sales & Documentation Support

  • Issue Invoices, Packing Lists, Credit Notes using Zoho
  • Follow up on sales orders and pending documents
  • Coordinate with sales team for order processing
  • Maintain accurate documentation and filing system

Supply Chain & Purchasing Support

  • Prepare and follow up on Purchase Orders
  • Coordinate with suppliers and logistics companies
  • Arrange shipping and delivery schedules
  • Prepare shipping documents and ensure documentation accuracy
  • Monitor stock levels and update inventory records

Management Reporting

  • Prepare daily and weekly operational reports
  • Submit sales summary reports to management
  • Track pending orders and delivery status
  • Report documentation errors or discrepancies
  • Maintain proper internal communication flow

Office Administration

  • Monitor office supplies and coordinate replenishment
  • Ensure office cleanliness and organization
  • Maintain digital and physical filing systems
  • Support management with administrative requirements

Requirements

✔ Female candidate only

✔ Minimum 2–3 years experience in Admin / Reception / Sales Coordination

✔ Strong knowledge of Zoho (Invoice, Packing List, Credit Note)

✔ Understanding of supply chain and purchasing documentation

✔ Proficiency in Microsoft Word and Excel

✔ Photoshop knowledge is an advantage

✔ Strong reporting and organizational skills

✔ Good English communication skills

✔ Professional appearance and disciplined work attitude

✔ Immediate joiners preferred

Job Type: Full-time

Pay: AED2,500.00 - AED3,500.00 per month
