Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, coordinate office operations, and support team members with their daily needs. Responsibilities

  • Greet visitors warmly, direct them appropriately, and maintain a professional front desk presence
  • Manage multi-line phone systems, answer inquiries promptly, and route calls effectively using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
  • Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy
  • Support calendar management and scheduling for team members, including setting appointments and reminders
  • Perform clerical duties such as photocopying, scanning, proofreading documents, and managing office supplies

Qualifications

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
  • Bilingual skills are highly desirable to assist diverse clients and team members
  • Experience with data entry, filing systems, and proofing documents accurately
  • Familiarity with office equipment such as multi-line phones, fax machines, and printers
  • Personal assistant or receptionist experience is a plus but not required
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously
