Overview
As Technical Services Coordinator you will collaborate with colleagues to inspire customer moments of delight and pursue amazing outcomes each day. Be an ambassador of a one team approach within the technical operations team, representing company and client.
Responsibilities
- Supervise day to day of Technical Services element, leading engineering teams and contractors across multiple sites.
- Maintain asset management database and schedule maintenance activities in collaboration with Engineering Teams.
- Ensure all planned and reactive tasks are available to technicians within SLAs and close out completed jobs on time.
- Monitor progress of all planned and reactive tasks, addressing backlogs and delays.
- Assign correct charge coding to reactive works and capture all rechargeable works.
- Produce required reports from asset management database to confirm planned preventive maintenance is undertaken according to contract.
- Keep PPM related records (soft and hard copy) safely and accessible.
- Enter newly installed assets into PPM system and set appropriate maintenance schedule.
- Order and receive consumable materials required for PPM activities on time.
- Assist in preparation and generation of quotations for additional works.
Quality, Health, Safety and Environment
- Participate in enhancing safety culture and log quality hazards, ensuring actions are closed out.
- Review method statements, MSDSs and issue permits to work prior to commencement through online permitting system.
- Ensure compliance with Health and Safety legislation for all building operations activities and company/client policies.
- Review Method Statements and Risk Assessments; carry out identified actions to ensure safe working practices.
- Communicate changes in policies and standards to technicians and report any breaches to Technical Service Manager.
- Report equipment not meeting statutory, Health and Safety or environmental regulations.
- Maintain QHSE log books and remediate any required actions within specified time frame.
Operations
- Lead or contribute to team huddles and meetings where applicable.
- Log all specific facilities issues and ensure remedial actions are completed proactively.
- Record ad hoc support requests within company systems.
- Assess plant and equipment against legislation and maintain in accordance with agreed specifications.
- Engage customers to ascertain needs and concerns, providing confidence in service delivery.
- Inform team members of any service impacts at the time they occur.
- Maintain data integrity to produce periodic and ad hoc reports for client or company management.
- Act as focal point for all matters regarding customer impact and facility operations.
- Carry out technical services to support all building operating systems.
People
- Drive a culture of high motivation, recognition and engagement and provide development plans.
- Coach team members, supporting succession planning and performance management.
- Provide management guidance and lead the team, overseeing work allocation, attendance and performance.
- Engage with company People team and ensure guidance in all people policies and processes.
- Liaise with operations and support teams for recruitment and retention of staff as required.
Supplier Management
- Review contractors to measure performance, manage severe non conformance and produce improvement plans.
- Manage third party maintenance contracts through company systems, including regular contract reviews.
Finance
- Record costs, manage change control and prepare monthly operation and financial reports.
- Audit ordering items to ensure accurate restocking charges and request benchmarking.
- Ensure client spend approval process compliance and engage in commercial process when required.
Project and Programs
- Collaborate with CBRE Projects teams; account for sign off of technical services in refurbishments, renovations and new buildings.
- Organise team for ad hoc projects, minor works and on site project delivery.
- Review building operating systems, identify energy savings opportunities and drive continuous improvement.
- Assist project teams on large scale refurbishments and new build contracts.
Candidate Requirements
- Relevant qualification in Mechanical and Electrical field.
- H&S qualification - IOSH, NEBOSH.
- Fluency in written and spoken English.
- Excellent analytical and problem solving skills.
- Eye for detail and good design.
- Strong communication skills.
- Excellent time management skills.
- Teamwork and independent working capability.
- Strong technical drawing skills.
- Broad technical knowledge and understanding of FM and building systems.
- Sound knowledge of all building services systems.
- 5+ years experience in a similar building environment.
- Dependable, flexible, responsive to customer requests.
- Experience working within a maintenance team.
