Why does this role exist?
This role exists to provide the Sales team with reliable administrative support that keeps projects organized, communication clear, and deadlines on track. By coordinating schedules, emails, documentation, and follow-ups, the Sales Admin Support will reduce operational friction and ensure timely execution. The role also supports light content and asset needs (primarily via Canva) to align with restructured content workflows and sales communications.
The Impact you’ll make
Sales administration and coordination

Coordinate schedules, meetings, and follow-ups for sales initiatives
-
Track timelines, deliverables, and deadlines; keep owners accountable
-
Maintain organized records, files, and trackers to support sales processes
Communication and correspondence
-
Manage timely, clear, and accurate email communication with internal teams and external clients
-
Draft, proof, and format sales updates and follow-ups
-
Route inquiries to the right stakeholders and escalate blockers promptly
Content and asset support
-
Create basic visual assets and simple layouts in Canva to support sales and email/social needs
-
Prepare or refine sales decks, one-pagers, and lookbooks (light Adobe Suite work preferred)

Maintain file naming, version control, and brand consistency
Data entry and reporting

Enter and update sales data with high accuracy; QA for completeness

Maintain trackers and compile concise daily/weekly summaries
-
Support list management and light research as needed
Cross-functional support and process improvement

Partner with Sales, Client Services, and Creative to keep projects moving

Work efficiently in a Mac environment and uphold documentation standards

Proactively suggest small process improvements that enhance accuracy and speed
Skills, Knowledge and Expertise
Required:
-
Proven experience as a Sales Admin or Virtual Assistant supporting a sales function in a fast-paced environment

Strong Canva proficiency for creating basic visual assets

Mac system-oriented; fully comfortable operating in macOS
-
Excellent written and verbal English communication skills

Strong organization, time management, and deadline reliability with high attention to detail

WFH Set-Up:

Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

Internet speed of at least 40MBPS

Headset with an extended mic that has noise cancellation and a webcam

Back-up computer and internet connection

Quiet, dedicated workspace at home
