- Establish and maintain a document control system for efficient filing, retrieval, and distribution of documents.
- Receive, log, and distribute all incoming project-related documents such as drawings, specifications, transmittals, submittals, and reports.
- Ensure all documents are properly coded, recorded, and stored in accordance with company or project standards.
- Control the issuance, revision, and version tracking of all controlled documents.
- Prepare document transmittals for submission to clients, consultants, or contractors.
- Maintain up-to-date registers of drawings, submittals, and correspondence.
- Ensure obsolete documents are clearly marked and archived appropriately.
- Coordinate with project engineers, QA/QC, and procurement for document flow and approvals.
- Assist in internal and external audits by providing required documentation and records.
- Maintain document registers, log sheets, and submission records.
- Prepare weekly or monthly reports on document control activities.
- Monitor deadlines and ensure timely submission of project deliverables.
- Manage day-to-day administrative and secretarial tasks for the department or management.
- Prepare, format, and proofread official letters, memos, emails, and reports.
- Maintain the office filing system (both digital and physical).
Skills & Competencies:
- Excellent communication skills in English.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Knowledge of document control software (Aconex, SharePoint, etc.) preferred.
- Strong organizational and time-management abilities.
- High attention to detail and confidentiality.
