Overview
We are seeking a dynamic and highly organized Secretary to join our team! This vital role ensures the smooth operation of daily office functions, providing essential administrative support and exceptional customer service. Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries promptly, and transfer calls accurately while maintaining excellent phone etiquette
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
  • Schedule appointments, coordinate calendar management, and handle correspondence using Microsoft Office and Google Workspace tools
  • Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Provide customer support by addressing inquiries via phone or email, ensuring a positive experience for clients and visitors
  • Assist with office management tasks such as supply ordering, maintaining office equipment, and organizing files for easy retrieval

Requirements

  • Proven office experience with strong clerical skills in a professional setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills with high accuracy; familiarity with data entry procedures
  • Bilingual abilities are a plus to serve diverse clientele effectively
  • Experience with multi-line phone systems, front desk operations, and customer service best practices
  • Knowledge of office management procedures including filing systems, calendar management, and document proofreading
  • Construction Company office experience is advantageous but not required
  • Demonstrated time management skills to handle multiple responsibilities efficiently
