Job Summary

The Secretary & Office & Social Media Coordinator will be responsible for ensuring smoothdaily office operations, coordinating with internal and external parties, and supporting themarketing team—especially with social media tasks. They will manage schedules,correspondence, documentation, and follow up on marketing initiatives to help maintain theorganization’s professional presence and productivity.

Office & Administrative Duties

 Open and close the office; ensure the office environment is clean, organized, andpresentable.

 Manage incoming/outgoing correspondence (emails, phone calls, post, couriers).

 Maintain schedules and calendars for senior staff; schedule appointments, meetings, andtravel arrangements.

 Prepare and distribute meeting agendas, take minutes, and follow up on action items.

 Maintain filing systems (both digital and physical), ensuring documents are easy toretrieve and properly archived.

Marketing & Social Media Support

 Assist in creating content for social media platforms: drafting posts/captions, sourcingimages, scheduling posts.

 Monitor social media channels: respond to comments, messages, and inquiries in a timelyand professional manner.

 Help maintain the brand voice and ensure consistency across all social media and digitalcommunications.

 Track social media metrics (engagement, reach, growth, feedback) and prepare regularreports to inform strategy.

 Support marketing campaigns as needed: promotions, events, collaborations.

 Coordinate with designers, content creators, and marketing team to ensure content &materials are delivered on time.
