Position Overview


The Senior Employee Records Coordinator is a specialized human resources position in the Employee Records department with a medium to high level of technical and administrative complexity. This position ensures that all personnel documents are entered in MDConnect efficiently, accurately and in a timely manner

What you will be doing

  • Conducts data entry of all employee personnel documents into MDConnect
  • Oversees and maintains implementation of digitalization of personnel files and records in Perceptive Content
  • Compiles, analyzes and prepares monthly Personnel Action Board of Trustee Report
  • Researches and verifies employment eligibility via E-Verify
  • Troubleshoots personnel data issues in MDConnect and reviews Request for Personnel Action (RPA) forms for accuracy
  • Conducts follow ups of monthly D-license expirations and monthly visa expirations with employees and supervisors
  • Reviews and processes subpoenas and public records requests
  • Researches and completes teaching verifications via MDConnect, Workload, Astra and Legacy Famis systems
  • Assists in troubleshooting and resolving Time Clock Plus errors
  • Processes and prepares, in collaboration with the AVP of Faculty Initiatives, the necessary documentation and reports for faculty promotions, continuing contracts, and Faculty Endowed Teaching Chair awards
  • Processes and prepares necessary documentation and reports for 10/20/30/40/50 year recognition of services awards for employees and retirees
  • Coordinates and collaborates with Campus Administration in the follow up of Annual Performance Reviews as well as Annual and Monthly Employment Contracts
  • Audits employee personnel files for missing documents and follows up with the respective employee and supervisor to ensure missing documents are received
  • Performs other duties as assigned

What you need to succeed

  • Bachelor’s Degree from an accredited college/university and five (5) years of experience in Human Resources
  • Knowledge and understanding of College organization, goals and objectives, and policies and procedures
  • Knowledge of USCIS laws and procedures regarding employment verification for I-9’s, E-Verify & Visas
  • Knowledge of basic personnel/human resources theory and principles
  • Effective communication, follow up and organizational skills
  • Ability to follow oral and written instructions
  • Ability to successfully interact with all levels of management employees
  • Possess excellent organizational and decision-making skills with the ability to exercise discretion and independent judgment in daily assignments
  • Excellent analytical skills in preparing comprehensive reports and interpreting data
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff

Preferences

  • PeopleSoft skills and demonstrated HR analysis skills a plus!
