Senior Human Resource Specialist

Job Summary:


The HR Executive plays a key role in executing and supporting the company’s human resource functions, ensuring compliance, transparency, and efficiency across all HR processes. This role involves managing recruitment, onboarding, attendance and payroll, visa coordination, performance management, employee relations, and HR system updates. The HR Executive ensures that all employee-related activities are aligned with company policies, UAE Labour Law, and organizational objectives.


Key Responsibilities:


1. Recruitment & Onboarding

  • Manage end-to-end recruitment: posting vacancies, screening candidates, arranging interviews, and reference checks.
  • Facilitate smooth onboarding for new hires, including orientation, documentation, and system registration.
  • Maintain updated recruitment trackers and candidate databases.

2. Attendance & Payroll Management

  • Monitor daily attendance, absenteeism, and overtime in accordance with company policy and UAE Labour Law.
  • Validate attendance inputs and adjustments for payroll submission.
  • Prepare monthly payroll adjustment reports and obtain necessary approvals.

3. Leave Management & Employee Records

  • Process annual, sick, and emergency leave requests, ensuring accurate leave balances and approvals.
  • Maintain organized and up-to-date employee files (both soft and hard copies) for compliance and audit readiness.
  • Manage document renewals (e.g., contracts, ID cards, passports) and ensure timely updates.

4. Visa & PRO Coordination

  • Coordinate with the PRO team for timely processing of new visas, renewals, cancellations, and other government-related documentation.
  • Track visa and residency expirations to avoid lapses or penalties.
  • Ensure documentation accuracy for all submissions to MOHRE, GDRFA, and other relevant authorities.

5. Performance Management

  • Support the performance appraisal process by gathering feedback, maintaining evaluation records, and ensuring timely completion.
  • Assist managers in setting KPIs, tracking employee performance, and identifying areas for improvement or development.
  • Coordinate with HR Manager to implement performance-based increments, disciplinary actions, or training plans as needed.

6. Employee Documentation & Data Management

  • Ensure accuracy and confidentiality of all employee data in the HR database and ERP system.
  • Maintain digital and physical filing systems for employee documents such as offer letters, contracts, renewals, and warnings.
  • Generate HR-related reports and analytics for management review.

7. Employee Relations & Engagement

  • Address employee queries, concerns, and grievances in a professional and timely manner.
  • Assist in planning and executing employee engagement and welfare initiatives.
  • Promote a positive work environment through fair and transparent communication.

8. Compliance & HR Policies

  • Ensure all HR practices comply with UAE Labour Law, company policies, and internal controls.
  • Assist in drafting, updating, and implementing HR policies and procedures.
  • Support HR audits and provide required documentation to management or legal authorities when requested.

9. HR Systems & Odoo ERP

  • Maintain and update employee data within the Odoo ERP HR module.
  • Support system enhancements and coordinate with the IT/ERP team for feature improvements.
  • Generate periodic reports from the ERP for attendance, leave, and payroll tracking.

10. Offboarding & Final Settlement

  • Manage exit formalities, including clearance, documentation, and final settlement processing.
  • Conduct exit interviews and share key findings for management review.
