Job Description

The Stakeholder Coordinator will oversee all the communication, approvals, and coordination with clients, consultants, subcontractors, and government authorities to keep projects on track. You’ll run approvals (NOCs/permits), minutes and actions, and de‑risk issues before they hit time and cost.

Key Responsibilities

  • Act as single point of contact for all project stakeholders (client/consultant, main & sub‑contractors, and authorities such as ADM, ADCD, ADDC/DoE, DMT, SWS, master developers, utilities).
  • Plan, submit, and track NOCs/permits/inspections; maintain an approvals schedule and escalate blockers early.
  • Coordinate progress and technical meetings; issue MoMs within 24–48 hours and drive action closure.
  • Maintain an up‑to‑date stakeholder matrix (contacts, roles, communication protocols).
  • Log and track RFIs, site instructions, variations; align technical/contractual communications with the PM/QS.
  • Monitor risks related to interfaces, public complaints, and access; mitigate before schedule impact.
  • Keep disciplined document control in the PMIS/ERP (correspondence, registers, trackers).
  • Support PM in monthly progress reporting and handover dossiers to client/authorities.
  • Champion HSE/Quality coordination for authority and third‑party inspections.

Qualifications

  • Bachelor’s degree in Civil Engineering, Architecture, Construction Management (or related).
  • Min 3+ years’ proven experience coordinating with key stakeholders, particularly UAE government authorities, municipalities, and regulatory agencies for permits, inspections, and project approvals.
  • Working knowledge of UAE authority procedures for permits/NOCs/inspections.
  • Excellent written and spoken English & Arabic. (Must)
  • Strong organization and follow‑up; calm under pressure; confident with senior stakeholders.
  • Proficient with MS Office and project/records tools (e.g., PMIS/ERP, trackers, SharePoint). UAE driver’s license preferred.
  • Max Age 35

Advantageous Skills

  • Exposure to design coordination and reading shop/as‑built drawings.
  • Familiarity with Primavera P6 basics (for interfaces with planning).
  • Experience with CDEs/PMIS (e.g. Aconex / BIM 360/ Procore/ Onsite / Odoo).
  • Community liaison/public interfaces on urban projects.
