Position Title: HR Onboarding & Scheduling Coordinator
Location: Hybrid – Scottsdale, AZ | Charlotte, NC | Malvern, PA

Position Status: Contract (6 Months with Possible Extensions)
Pay Rate: $22 per hour
Position DescriptionWe are seeking a detail-oriented HR Onboarding & Scheduling Coordinator to support a high-volume recruiting and onboarding function within a fast-paced enterprise environment. This role plays a critical part in delivering an exceptional new hire onboarding experience while ensuring seamless coordination of interviews, scheduling, and onboarding logistics.
The ideal candidate is highly organized, tech-savvy, and thrives in environments where multitasking, prioritization, and strong communication are essential. This individual will work closely with recruiting teams, HR partners, and internal stakeholders to ensure efficient onboarding processes and a positive candidate experience.
This position is ideal for professionals with HR operations, recruiting coordination, onboarding, or scheduling experience who enjoy managing multiple priorities and delivering excellent service to internal teams and new hires.
Key ResponsibilitiesCoordinate and facilitate new hire onboarding processes , ensuring a smooth and efficient experience for incoming employees.
Manage interview scheduling and calendar coordination across multiple stakeholders and high-volume recruiting pipelines.
Serve as a subject matter expert (SME) for onboarding and recruiting coordination processes.
Collaborate with recruiting teams, HR partners, and operational stakeholders to streamline onboarding and hiring workflows.
Monitor scheduling and onboarding queues , ensuring tasks are prioritized and completed within established service metrics.
Coordinate and support HR events, recruiting logistics, and onboarding transactions .
Identify opportunities to improve HR processes, scheduling efficiency, and onboarding workflows .
Provide guidance and mentorship to team members when needed and support onboarding training initiatives.
Maintain clear communication with candidates, new hires, and internal stakeholders to ensure excellent service and relationship management .
Handle sensitive HR information with professionalism and strict confidentiality .
Participate in process improvement initiatives and special HR projects as assigned.
2–5 years of experience in HR operations, recruiting coordination, onboarding, scheduling, or HR support roles.
Strong experience with calendar management, interview scheduling, and coordination in high-volume environments .
Proficiency with HR and recruiting platforms such as Workday, scheduling tools, ATS systems, or onboarding software .
Excellent organizational, time management, and multitasking abilities .
Strong written and verbal communication skills with the ability to interact with candidates and internal stakeholders.
Ability to prioritize tasks, meet deadlines, and manage multiple workflows simultaneously .
Experience maintaining confidential HR data and handling sensitive information .
Associate’s or Bachelor’s degree in HR, Business Administration, or a related field preferred (equivalent experience considered).
HR certifications (such as PHR, SHRM-CP ) are a plus but not required.
Strong problem-solving skills and attention to detail in fast-paced environments.
