Job Title: Administrative Assistant

Assignment Type: Contract – through to 12/2026

Pay: $25–$28 per hour (depending on experience)

Work Schedule: Hybrid schedule. Initial onboarding will require five days per week onsite, with the opportunity to transition to three days per week in-office upon approval.

Hours : Standard hours are 8:00am–5:00pm or 8:30am–5:30pm.

Job Description:

Our client is seeking an experienced administrative professional who thrives in a high-volume, deadline-driven setting. This role will focus heavily on complex scheduling, travel coordination, and expense management while serving as a key point of contact for internal and external stakeholders.


Key Responsibilities:

  • Manage complex and frequently changing calendars, coordinating a high volume of meetings across multiple time zones.
  • Coordinate domestic and international travel arrangements, including flights, lodging, ground transportation, and detailed itineraries.
  • Prepare, submit, and reconcile expense reports; training provided on internal systems as needed.
  • Monitor shifting priorities and respond quickly to last-minute adjustments with professionalism and efficiency.
  • Communicate clearly and effectively with leadership, team members, and external contacts.
  • Provide cross-functional administrative support and collaborate closely with the broader admin team.


Qualifications:

  • 3+ years of experience supporting executives or teams in a fast-paced environment.
  • Strong background in high-volume calendar management and travel logistics coordination.
  • Experience processing expenses; familiarity with Chrome River is a plus.
  • Exposure to SAP and Concur is highly preferred.
  • Proficiency in Microsoft Office Suite required.
  • Associate’s or Bachelor’s degree preferred.
  • Detail-oriented, adaptable, and highly organized with strong interpersonal skills.
  • Ability to build relationships and work effectively within a team setting.
