The Agency Operations Specialist is responsible for ensuring smooth daily operations across all agency departments. This role focuses on maintaining workflow efficiency, improving internal processes, coordinating cross-functional communication, and supporting leadership with data-driven insights.

Key Responsibilities

  • Oversee daily operational activities and ensure tasks are executed according to agency SOPs.
  • Maintain and optimize internal workflows for departments including creator management, client servicing, outreach, and finance.
  • Track operational KPIs (campaign performance, creator activity, deliverables, approvals, delays, etc.) and present weekly/monthly reports.
  • Coordinate communication between teams to prevent bottlenecks and ensure timely execution of campaigns.
  • Lead project timelines, follow up on task progress, and manage deadlines across teams.
  • Assist in onboarding new team members and ensuring they understand workflows, SOPs, and tools used by the agency.
  • Manage agency tools and platforms (ClickUp, Airtable, HubSpot, TikTok Shop portals, CRMs).
  • Identify workflow issues and propose actionable solutions or process improvements.
  • Support finance operations by verifying metrics, payout reports, creator incentives, and monthly reconciliation.
  • Maintain documentation including SOPs, process updates, workflow maps, and performance reports.

Requirements

  • Proven experience in agency operations, project coordination, or administrative management.
  • Strong understanding of creator marketing, affiliate workflows, or TikTok Shop operations (preferred).
  • Excellent organizational, analytical, and multitasking skills.
  • Ability to create, maintain, and improve SOPs and workflows.
  • Strong communication and cross-team collaboration skills.
  • Proficiency in project management tools (ClickUp, Notion, Asana, Airtable).
  • Ability to work under tight deadlines with a high level of accuracy.

Work Hours: 12PM – 9PM (PKT)
